Department: Health, Safety and Environment Office Job Posting Details The Health, Safety, and Environment Office is dedicated to maintaining a safe and sustainable campus. We are seeking a dynamic, detail-oriented team player to join the Administration Team as an Assistant Officer (Administration). Major Duties: Administrative and operational support: Provide comprehensive administrative and operational support to the Office, including secretarial assistance to Section Heads and day-to-day support to the HSE Field Team. Financial administration: Facilitate procurement, payment, and reimbursement workflows, manage accurate data entry and documentation, and liaise with internal stakeholders. Record management: Maintain meticulous records and transaction logs; assist in generating budgetary reports and operational analytics to support decision-making. Office operations: Support daily office operations such as correspondence handling, calendar management, inventory control, and customs declarations. Event coordination: Deliver administrative and logistical support for meetings, events, and office activities. Communication hub: Serve as a point of contact for general enquiries, manage HSE email accounts, and facilitate inter-departmental communication. Ad hoc support: Execute any other duties as assigned from time to time to ensure the continuous and effective functioning of the Office. Qualifications: A bachelor’s degree with at least three years of administrative experience. Candidates with substantial relevant experience but lesser qualifications will also be considered. Proven familiarity with eProcurement systems, financial software, and the Microsoft Office Suite. Strong command of written and spoken English and Chinese (Cantonese and Putonghua). Demonstrated ability to organise and manage multiple tasks in a dynamic environment, with a proactive, service-oriented mindset. Strong communication skills with a positive, collaborative approach to problem-solving. (Duration: 2 years, renewable) Starting salary will be commensurate with qualifications and experience.
