About the Role:

The Assistant Operations Manager supports the Director of Operations in the effective and efficient management of the day-to-day operations of English Path Malta. The role

is responsible for ensuring the smooth delivery of operational services, maintaining high

standards of student experience, supporting staff and coordinating activities across the

school.


The successful candidate will act as a key operational point of contact, assisting with the

implementation of operational procedures, monitoring service standards, resolving day-to-day issues and supporting continuous improvement initiatives.


Please Note: This role is fully on-site and a Full Time position.


Key Responsibilities:

  • Daily Operational Leadership & Supervision: Support the Director of Operations by coordinating, monitoring, and supervising day-to-day school activities to ensure smooth service execution, consistent adherence to internal policies, and proactive resolution of operational bottlenecks.
  • Operational Performance & Systems Implementation: Assist in rolling out new systems, operational initiatives, and standard operating procedures (SOPs); regularly monitor performance metrics to provide the Director of Operations with actionable insights, trend analysis, and recommendations.
  • Student Experience & Query Escalation: Champion a high-quality student journey by maintaining a professional school environment, acting as an escalation point for complex student queries and complaints, and implementing service improvements based on student feedback.
  • Staff Scheduling & Resource Allocation: Support the allocation and coordination of operational personnel, managing staff rotas, daily scheduling, attendance monitoring, and workload distribution to meet dynamic operational demands.
  • Onboarding & Team Development: Lead the onboarding and induction process for new operational employees, ensuring clear communication of operational guidelines, procedures, and expectations to build a collaborative, service-focused team culture.
  • Facilities Management & Maintenance: Oversee the upkeep of physical premises, classrooms, and common areas, serving as the primary liaison for landlords, maintenance contractors, and equipment vendors to ensure prompt repairs and high facility standards.
  • Health, Safety, Security & Compliance: Enforce health and safety procedures, organize emergency drills, maintain accurate compliance logs, and ensure strict adherence to safety standards, escalating critical security or compliance risks immediately to senior leadership.
  • Vendor & Procurement Management: Manage external supplier relationships, monitor service-level agreements (SLAs), evaluate quotations, and support the procurement of school supplies to drive cost efficiencies and service quality.
  • Financial Tracking & Budget Monitoring: Assist in tracking operational expenditures, reviewing supplier invoices, and monitoring resource usage against approved budgets to support fiscal accountability.
  • Administrative Management & Reporting: Maintain organized, audit-ready operational documentation, registers, and checklists while producing regular administrative updates and key performance reports for executive leadership.
  • Event Coordination & Peak Period Planning: Lead the logistics, staffing, vendor sourcing, and venue setup for major school events, orientation weeks, new student intakes, and extra-curricular student activities to ensure safe and seamless execution.
  • Continuous Improvement & SOP Development: Regularly gather feedback from staff and students to identify operational gaps, update SOPs, and foster a team culture centered on accountability, quality assurance, and operational excellence.


Essential Skills & Experience:

• Previous experience in operations, administration, education, hospitality, customer

service or a similar operational environment.

• Experience coordinating people, activities or operational processes.

• Strong organisational and time-management skills.

• Excellent communication and interpersonal skills.

• Strong problem-solving and decision-making abilities.

• Ability to manage multiple priorities and work effectively under pressure.

• Good working knowledge of Microsoft Office and general administrative systems.

• Excellent command of written and spoken English.

Desirable

• Previous experience within the education, language school, student services,

hospitality or international student sector.

• Experience in a supervisory or team coordination role.

• Knowledge of health and safety, facilities management or compliance requirements.

• Experience working in a multicultural or international environment.

• Experience with student management or education-related systems.
