POSITION OVERVIEW:

We are seeking a highly organized, operationally driven Assistant to the General Manager to play a central role in overseeing business operations and executive coordination within a Commercial Property Services company. This hybrid role blends field operations, project oversight, and high-level administrative support.
The ideal candidate is fluent in Spanish and English and brings strong leadership potential to grow into an Operations Manager role. You’ll serve as a critical right-hand to the General Manager, helping manage field execution, client communication, team coordination, and internal project flow across departments including Sales, HR, Accounting, and Operations.

REQUIRED QUALIFICATIONS:

  • Fluency in Spanish and English is required.
  • 5+ years of experience in operations, field coordination, project management, or executive-level support.
  • Proven experience with scheduling, dispatch, and team management. Especially in commercial property services or related industries.
  • Strong organizational and communication skills, with ability to multitask under pressure.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling/CRM platforms.
  • Bachelor’s degree in Business Administration, Operations, or related field preferred
  • Strong interpersonal skills, discretion with sensitive information, and ability to work with both executive leadership and frontline staff.

Responsibilities

Operational Oversight & Field Support

  • Support daily operations across all service lines: High Rise/High Reach Window Cleaning, Pressure Washing, Porter, and Sweeping.
  • Coordinate team scheduling, dispatching, and crew logistics to ensure efficient service delivery.
  • Visit job sites to support field staff, address client needs, and monitor quality and safety.

Executive & Administrative Support

  • Act as a liaison between the General Manager and internal departments, ensuring smooth execution of operational and administrative goals.
  • Manage the General Manager’s calendar, prepare reports, follow up on key tasks, and handle confidential matters.
  • Track and document job progress, client updates, and project milestones.
  • Maintain Accurate records related to operations, safety and client interactions.

Client & Internal Communication

  • Serve as a point of contact for client inquiries, especially when the General Manager is unavailable.
  • Translate key communications, field updates, and safety protocols between Spanish-speaking crews and management.
  • Ensure that all updates and concerns from the field are effectively relayed to appropriate departments.

Safety & Compliance

  • Enforce and support company safety protocols; coordinate emergency response if needed.
  • Maintain compliance with industry and regulatory safety standards.
  • Conduct safety audits, inspections, assist with conducting safety meetings and trainings in both English and Spanish.
  • Serve as the point of contact for safety-related incidents and emergencies, including 911 call coordination.

Project & Workflow Management

  • Help manage project timelines, team coordination, and deliverables.
  • Collaborate on operational improvements and company-wide initiatives.
  • Coordinate with team leads and field staff to address challenges and streamline operations.
