JOB SUMMARY

The Assistant Project Analyst provides analytical and administrative support to ensure the successful execution of projects. This role is responsible for data collection and review, analysis, and reporting, while also maintaining project documentation and assisting in tracking milestones, risks, and issues. The Assistant Project Analyst collaborates closely with Project Analysts, Accounts Payable Specialist and cross-functional teams, helping to ensure accuracy, compliance, and efficiency in all project-related activities.

REQUIRED SKILLS AND EXPERIENCE

  • Bachelor’s degree in business, project management, finance, or related field; or equivalent experience.
  • 1–3 years of experience in project coordination, project support, or a related analytical role preferred.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills for effective collaboration and reporting.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); familiarity with project management and financial tools preferred.
  • Strong analytical and problem-solving skills with attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.

Responsibilities
  • Monitor project milestones, risks, and issues, and support risk mitigation efforts.
  • Conduct research, analyze complex data, and extract insights to support informed decision-making.
  • Set up new jobs, including DocuSign processing and calendar creation for billers.
  • Process requests for Certificates of Insurance (COI), bid bonds, and payment & performance bonds.
  • Facilitate contract execution and ensure all documentation is complete.
  • Complete tax audit setup sheets, flagging missing tax verifications for billers.
  • Assist billers in tracking CP and booking entries as needed.
  • Manage procurement card processes, accounts payable (AP) statements, and vendor communications through AP email accounts.
  • Serve as biller for residential and supply jobs and provide back-up support for billers and accounts payable.
  • Track and resolve unallocated job expenses.
  • Maintain and update project documentation, databases, and spreadsheets to ensure accuracy and integrity.
  • Provide administrative support for project meetings, including preparation of reports, presentations, and research.
  • Collaborate with Project Analysts and other departments to achieve project goals and support initiatives.
