Description Working in a multi-discipline environment, the Assistant Project Manager (APM) supports all phases of highly technical residential projects—from schematic design and design development through pre-construction and construction administration. The APM’s primary responsibility is to support the Project Manager and project team in organizing the complexities of our projects into effective management systems. This includes helping establish and monitor compliance with project processes, orchestrating information flows, and supporting the financial performance, schedule, and documentation required to deliver an exceptional client experience. Responsibilities: Project Support & Coordination Work collaboratively with the Project Delivery team (Sr. Project Manager, Project Managers, Project Engineers, Construction Managers, and Design) to support the full project lifecycle. Assist with project planning, detailed scheduling, and coordination of internal and external deliverables across all project phases. Coordinate with field teams to ensure design and construction activities are aligned and information is clearly communicated. Demonstrate continuous commitment to understanding and protecting clients’ needs and confidentiality. Financial & Schedule Support Support PMs in accurate tracking of project budget, cost, forecast, and schedule, including updating logs, reports, and tracking tools. Assist with monitoring progress against schedule milestones and flag potential variances for PM review. Help gather data and prepare routine financial and schedule reports for internal reviews and client meetings. Contracts, Procurement & Documentation Assist in subcontract administration, including creating and processing subcontracts, change orders, and related documentation. Support procurement of materials and coordination with vendors and trade partners. Maintain accurate and organized project documentation, including licenses, permits, logs, and meeting minutes. Administer software to ensure information is current, complete, and accessible for the project team. Field & Trade Partner Coordination Coordinate and conduct pre-construction meetings and mock-ups with the project team and subcontractors, as delegated by the PM. Support project site logistics (e.g., survey, project layout coordination) in partnership with field supervision. Manage assigned subcontractors and support the management of Project Engineers, ensuring they have clear information and direction on their scope. Perform Project Engineer responsibilities when needed, including RFIs, submittals, and basic takeoffs. Client & Team Communication Prepare and distribute weekly project meeting and follow up on action items. Support PMs in preparing client presentations, status updates, and documentation that reflect Blue Heron’s design-led standards. Contribute to a collaborative, “One Blue Heron Team” culture by proactively sharing information, seeking clarity, and living our core values in daily interactions. Requirements Essential Qualifications: Bachelor’s or Associate degree in Construction Management, Architecture, Design, Engineering, or related field preferred (or equivalent experience). 3–5 years of related experience in construction, architecture, design, or engineering; residential or multifamily project experience preferred. In-depth knowledge of basic contract administration concepts and familiarity with architecture and engineering terminology. Demonstrated ability to establish relationships, work effectively with trade partners and internal teams, and lead through influence. Ability to support contract negotiations, help manage personnel tasks, and meet deadlines and project goals while maintaining confidentiality. Working knowledge of Design and/or Construction Management Software (or similar platforms). Proficient with Microsoft Office Suite, Bluebeam, and fundamental estimating, scheduling, and accounting concepts. Excellent written and verbal communication skills; strong attention to detail and follow-through. Demonstrated ability to manage and embrace change; adaptable to new processes and approaches. Strong work ethic and high level of integrity.
