Department: Leasehold & Estate Management
Location: Head Office, Colchester, Essex

Responsibilities

ROLE OVERVIEW

This is a varied and hands-on role designed to provide a strong foundation in block and estate management. As Assistant Property Manager, you will be the first point of contact for leaseholders, playing a key role in supporting our team of Property Managers while gaining the knowledge and experience required to progress into a fully qualified position.

KEY RESPONSIBILITIES

  • Act as the main point of contact for leaseholders regarding day-to-day enquiries and team tasks.
  • Share responsibility for the central phone line with the Block Administration Manager.
  • Log and track maintenance issues reported via phone or email across the property portfolio.
  • Coordinate and follow up on communal maintenance matters, liaising with contractors, leaseholders, and Property Managers.
  • Use our property management software to raise job orders and maintain accurate records.
  • Manage contracts and arrangements for parking facilities across the portfolio.
  • Accompany Property Managers to site and client meetings (including occasional evenings) to provide note-taking and general support.
  • Assist in the preparation of management packs for sales, covering for the Block Administration Manager when required.
  • Support the Accounts Team by taking telephone payments when needed.
  • Review central compliance records (e.g. Health & Safety, Section 20) and liaise with Property Managers to coordinate updates and works.
  • Provide general administrative support: issuing keys/fobs, filing, post, mail merges, and assisting with new site take-ons and outgoing handovers.
  • Undertake relevant training to become a qualified Property Manager and assume responsibility for managing a small portfolio in due course.
