Description The Assistant Property Manager under the direction of the Property Manager is responsible for the operational and bookkeeping aspects of Multi-Family Residential property. The position requires exceptional customer service, organization, and written/oral communication skills. Assist the Property Manager in managing the property in accordance with the goals, policies, and procedures of Polinger. Must communicate effectively with Property Manager, Residents, Employees, Vendors, etc. Communicates effectively with residents and tenants, resolving issues at the property to the extent possible. Ensure timely rent collection. Responsible for preparing legal late notices and reporting non-payers to L&T attorney if the property does not employ a Bookkeeper. Utilize phone, and written communication to follow up daily with unpaid residents and tenants if the property does not employ a Bookkeeper. Financial management including managing a budget. Coach and motivate the sales team to meet or exceed occupancy targets for the property. Maintain a closing ratio of 40% or better. Assist in the creation and management of marketing and outreach programs. Ensure the team manages all leads and completes all follow-up calls per lead. Ensure the team delivers superior customer service. Effectively and professionally resolve conflict. Timely follow-up on all resident issues. Attend resident event activities. Ensure that service tickets are completed in a timely manner. Assist in maintaining the curb appeal and maintenance of the property. Timely submit all required reports. Verify collections are completed in a timely manner. Ensure site inspections are completed and identified issues are addressed. Supervise the organization and maintenance of all lease files. Implement annual rent increases and renewals as directed. Provide in a timely manner the move-in and move-out paperwork. Process prospect application. Prepare a weekly report to ownership. Turnover inspection of apartments. Responsible for sending out renewal letters & working with residents to ensure renewals are signed in a timely fashion. Assist in the oversight of work performed by off-site contractors to ensure timely & cost-effective completion of projects. Demonstrate understanding & commitment to equal housing, equal employment, and racial/ethnic diversity policies at all times. Provide in a timely manner the move-out paperwork to the accounting department. Assist the Property Manager with any tasks needed. Requirements Qualifications Three (3) Years of Property Management experience. Proficiency and knowledge of Yardi (or other Property Management software), Microsoft Office Suite and Social Media sites including but not limited to Facebook, Twitter, Instagram, etc. Demonstrated knowledge of Fair Housing requirements. Excellent verbal and written communication skills. Prolonged standing, walking, and climbing stairs. Basic knowledge of Yardi a plus. Ability to work weekends.
