Job Title: Greenbriar at Marlboro, Inc. Assistant Property Manager
Status: Full Time
Responsible to: Greenbriar at Marlboro, Inc. Board of Trustees
Company Description:
Greenbriar of Marlboro, Inc. is a New Jersey, nonprofit corporation organized under New Jersey law to maintain, repair and replace the common areas and facilities and to take such further action as required and necessary under a recorded Declaration of Covenants and Restrictions and By-Laws for the “Greenbriar at Marlboro” development consisting of 766 single-family homes located in Marlboro, New Jersey. Greenbriar of Marlboro, Inc. Is seeking a professional Assistant Community Manager with at least 5 years of experience in Homeowner’s Association management to oversee our 766 single-family residential housing development as a direct employee of the Association.
Qualifications:
Minimum of three (3) to five (5) years + experience in HOA property management
Excellent time management, communication and organizational skills. Detail oriented with ability to handle issues without supervision
Computer skills required, including Word, Excel, Outlook, and PowerPoint and accounting systems. Familiarity HOA accounting software, a plus
On- site- full time position to interact with residents, vendors and office personal

Responsibilities: To assist the Property manager in overseeing the operations of the Greenbriar of Marlboro, Inc. in accordance with the Bylaws and Declarations of the Association. Assist in all operations/assignments as needed.
Communication: Maintain communications with HOA Board of Trustees, Association members/homeowners and vendors. Maintain good public relations in a positive manner. Respond to emails, letters and phone calls from homeowners
Fiscal Management: Oversees monthly collection of monthly assessments from homeowners. Ensure bills are paid. Produce financial statements each month. Establish a draft budget and implement budget. Ensure taxes are paid and all tax forms are completed. Ensure yearly audit is completed. Ensure Homeowners are charged for delinquent dues and violations and send appropriate notices. Oversee Reserve Studies, researches issues and present Board of Trustees with recommendations.
Record Keeping: Maintain records of the Association, files of homeowners and renters, resale certifications and ensure changes of ownership are properly entered and update all records of such sales. Process initial Architectural Committee applications. Maintain a calendar of assigned dates for clubhouse use (i.e. meetings, events etc.) Oversee all IT operations and maintain the infrastructure.
Property Management & Maintenance: Arrange for and obtain bids, and oversees activities of contract service representatives such as landscapers, exterminators, trash collectors, major repair contractors, utility service repairers, snow removal contractors, swimming pool contractors, and any other services, as needed. Coordinate capital projects. Review the property, and note any violations or maintenance issues. Accept, create, prepare and submit work orders to schedule crews to perform maintenance and repair work. Oversee all office operations to ensure all policies and procedures are followed. Identify opportunities for office management improvements and design new policy and procedures. Manage office supplies and inventory and replace as needed. Provide administrative support as necessary, including scheduling group meetings, doing research and creating reports. Point of contact for all office operations and maintenance issues.
Salary range: $55,000 to $65,000 per year
