About the role Reporting to the Property Manager, the Assistant Property Manager plays a key role in ensuring the smooth and efficient operation of the condominium. This position involves direct support with resident relations, contractor coordination, building maintenance oversight, and administrative and financial tasks, all while upholding the corporation’s governing documents and service standards. This role offers the opportunity to contribute meaningfully to the long-term success of the condominium community. By supporting effective communication, maintaining building standards, and ensuring timely follow-through on operational matters, the Assistant Condominium Manager helps the board carry out its responsibilities and advance key priorities such as asset preservation, community engagement, and regulatory compliance. What you'll do Review reports from the security team and highlight any matter that require the attention of the property manager. Obtain completed forms for filing (i.e. amenity reservations, resident information forms, parking permits, etc.). Update owner and resident information as required. Communicate in a professional manner with clients. Respond to client inquiries promptly by email and telephone. Ensure a timely response to client complaints and concerns. Notify ICON's corporate office of any unit sales. Prepare resident notices and mass email communications. Prepare the weekly interoffice mail package to be courier to ICON's corporate office. Distribute mail coming from ICON's corporate office following the condominium corporation's mail distribution policy. Draft compliance and reminder letters to owners and residents. Prepare logs for all CEF payments and sundry payments. Order office supplies as needed. Coordinate maintenance visits under the supervision and direction of the property manager. Assist in the preparation of management reports and other building reports as needed. Contact the superintendent for maintenance requests, as directed by the property manager. Assist in the preparation of owners meetings, as directed by the property manager. Assist in the preparation and drafting of corporation policies and procedures. Qualifications 1+ year of experience working in an APM role in a Condominium environment. Experience with condominium townhomes considered an asset. Post secondary education in a related discipline. Limited License under the CMRAO. Proven organizational and multitasking skills. Ability to cope with changing client needs and to deliver successful results within tight deadlines. Excellent verbal and written communication skills. Strong customer service orientation. Proficiency in Microsoft Office.
