We are seeking a detail-oriented, proactive, and customer-focused Assistant Property Manager to support the day-to-day operations of our property portfolio. The ideal candidate will have strong experience in property management, leasing, facilities oversight, financial reporting, and people management. This role is key to ensuring smooth operations, tenant satisfaction, and long-term value creation for owners and stakeholders. Key ResponsibilitiesProperty Management Address all day-to-day operational issues for assigned properties. Serve as the primary point of contact for tenants on property-related concerns. Maintain accurate property records and files in line with company SOPs. Support the Property Manager in implementing operational strategies and campaigns. Coordinate with the Facility Management (FM) team to ensure properties are well maintained, including PPM schedules, inspections, and incident reports. Conduct property inspections to ensure compliance with lease terms, safety standards, and upkeep requirements. Build strong relationships with tenants, owners, clients, and service providers to enhance satisfaction and improve NPS scores. Maintenance & Facility Management Monitor performance of FM teams and contractors against agreed KPIs and SLAs. Review HSE documentation, update security and evacuation plans, and escalate approvals to management. Enforce FM operational plans across cleaning, security, and reactive maintenance. Verify contractor compliance with trade licenses, insurance, and required permits. Coordinate external vendors for services including waste management, landscaping, and security. Ensure snagging reports and daily building inspections are completed and documented. Leasing Management Manage leasing activities, from lead generation to renewals. Prepare offer letters, tenancy agreements, and related documents. Assist with tenant viewings and occupancy retention initiatives. Provide insights and feedback on strategies to improve leasing outcomes. Compliance & Policy Adherence Implement and monitor policies and procedures for property, lease, financial, and administrative management. Ensure compliance with company standards and industry regulations. Financial Management Issue invoices, collect monthly fees, and maintain accurate payment records. Assist in preparing operating budgets, financial reports, and forecasts. Monitor energy usage and implement cost-saving initiatives. Operations, Administration & Reporting Conduct weekly and quarterly property inspections. Prepare RFPs and oversee tenant fit-out processes. Review filing systems across departments and escalate discrepancies. Address tenant complaints, resolve violations, and ensure compliance with anti-discrimination laws. Deliver memorable tenant experiences that strengthen long-term relationships. People Management Support the recruitment, training, and retention of high-performing team members. Mentor, coach, and provide career development opportunities. Drive employee engagement, performance, and satisfaction through structured communication and feedback sessions. Promote a culture of continuous improvement (Kaizen). Qualifications & Skills Bachelor’s degree in Property Management, Real Estate, Business Administration, or related field (preferred). Minimum 3 years experience in property/facility management, leasing, or a related role. Strong knowledge of HSE standards, FM operations, and lease management processes. Excellent communication and interpersonal skills with the ability to manage multiple stakeholders. Strong organizational, problem-solving, and reporting skills. Proficiency in property management software and MS Office Suite. Ability to lead and inspire teams while maintaining high service standards.
