JOB OVERVIEW

We are seeking a dedicated and organized Assistant Property Manager to support the daily operations of our property management team. The ideal candidate will possess strong customer service skills and a solid understanding of property management practices. This is a hands-on position that will interface regularly with vendors, contractors, maintenance personnel and senior management. This role is essential in ensuring tenant satisfaction and maintaining the overall efficiency of property operations.

QUALIFICATIONS:

  • Minimum of two years experience in the Property Management industry.
  • Professional designations a plus (CPM, CSM, RPA, or CFM)
  • Proficient in MS Word, Excel, Outlook
  • Proficiency in Yardi highly desired
  • Ability to read and interpret legal, leasing, title and financial reports and documents.
  • Strong ability to properly communicate with tenants, consultants, contractors, regulatory agencies, the general public and members of the business community.
  • Self-started, ability to expedite work with minimal supervision in a busy office. Highly organized, detail oriented and strong ability to prioritize.
  • Effective problem solver
  • Strong written and verbal communication skills

Responsibilities
  • Generate detailed vendor scopes to obtain competitive bids as required, with Property Manager’s oversight.
  • Include monthly on-site inspections of maintenance, safety hazards, tenant issues, landscape needs, curb appeal, signage, etc. This can be done with or without the Property Manager.
  • Monitor collection of tenants receivables (both rent and CAM charges).
  • Ensure timely and accurate reporting and prepare all general correspondence on property issues with the Property Manager’s oversight
  • Evaluate service contract requirements; prepare specs bid, negotiate, and manage vendor contracts with Property Manager’s oversight.
  • Coordinate Tenant move-ins/move-outs
  • Maintain property files on assigned properties
  • Assist Property Managers with collection efforts for rent, CAM, and other miscellaneous charges
  • Assist in managing tenant activities at assigned properties to ensure lease compliance.
  • Maintain Tenant lease folder
  • Track and monitor Tenant preventative maintenance obligations
  • Assist in managing vendor contracts and compliance
  • Assist in making sure vendor insurance is up to date
  • Attend all required meetings and trainings
  • Other duties as assigned.
