Bachelor’s degree and four years of experience related to academic and/or student services; or a high school diploma/equivalent and eight years of related experience. (Note: a combination of post high school education and experience equal to eight years.)

Responsibilities

The Office of the University Registrar is a unit within the Division of Enrollment Management, which is comprised of four distinct units: Office of Admissions, Office of the University Registrar, Office of Financial Aid, and Technology Operations. Enrollment Management’s integrated services provide distinctive support throughout the student’s development and progression in their academic experience – from recruitment through commencement. Through collaboration, communication, and commitment, all units within Enrollment Management achieve the highest level of student-centered service to current and prospective students and families and to campus partners across the University.
This position is responsible for assisting in the management, administrative direction, and coordination of staff and activities for the Graduation and Commencement Services section of the Office of the University Registrar.
Responsible for managing daily operations including coordination of preliminary evaluations, graduation clearances, posting of degrees, and diploma printing within the Graduation and Commencement Services section of the Office of the University Registrar. This includes maintaining, updating, developing, and evaluating office procedures as well as documenting processes and interactions in these sections. Makes suggestions and recommendations to the Associate Registrar for the efficient operation of the section.
Oversees the managing, planning, coordinating, and executing all logistical functions related to commencement ceremonies each semester. Provides guidance and support in the performance of these duties to include hiring and scheduling all volunteers and paid employees, setup, breakdown and organization of the rented space, coordination with third party software company for event management (RSVP, ticket, name display, graduate seating, etc.) Coordinate all communication with the President’s Office, Dean’s Offices, Donald L. Tucker Center officials, University Communications, University Relations and other offices and vendors associated with the ceremonies.
Manages the implementation of University rules and regulations applying to the Office of the University Registrar. Uses professional judgment and expertise regarding University policy and applicable legislation to make final decisions regarding any disputes or issues with graduation requirements. Provide guidance on relevant Florida statutes. Researches and analyzes records/transcripts and assists in the resolution of problems. Serves as backup to the Associate Registrar as representative for the Office of the University Registrar at campus functions and meetings. Serves as a member of the Office of the University Registrar’s leadership team.
Oversees the planning and coordination of graduation communication and counseling activities to facilitate student, faculty, and staff knowledge of University procedures and policies in order to enhance graduation and retention rates, a key university metric. Supervises the Graduation Services staff.
Contributes to long-range planning. Reviews and evaluates policies and procedures, making suggestions, and recommendations to senior leadership regarding graduation functions, such as graduation clearance, degree progress reports, ceremony coordination, and diploma printing. Shares in the compilation and analysis of data for recommendations and projections. Assists in the development and implementation of goals, objectives, policies, procedures, and staffing of the Registrar Office.
