Role Responsibilities Maintain and manage executive calendars with precision, anticipating needs for meetings/videoconference/calls, adapting to the demands of an international business spanning multiple time zones. Prepare meeting agendas, organize and distribute materials, handling both internal and external appointments of varying formalities. Record and organize meeting notes, distributing follow-up materials as needed. Proactively update grids, presentations and shared folders. Arrange travel accommodations and process executive expenses in alignment with company policies. Screen calls and handle inquiries with tact, referring or escalating as appropriate. Draft, review and compose various forms of correspondence such as memos, reports, and submissions letters. Assertively follow up on tasks and projects to ensure timely completion. Manage submissions to Executives, including books, scripts, and pitches, reviewing or distributing as directed. Prepare talent lists and organize weekly book scout reports. Conduct market research and track industry trends, including ratings, audience data, competitive programming and emerging content trends. Ad hoc duties for projects as needed. Requirements Strong communications skills, able to engage effectively across all levels of the organization and with external partners. Understanding of the current US/International TV landscape, including buyers, producers, and agents. Experienced in assessing creative and commercial viability of scripts and books. Knowledge of directing talent, agents, and production companies. Adaptive and resourceful with excellent professional judgment. Commitment to confidentiality and diplomacy in all interactions. Proficient problem-solving abilities. Expertise in MS office, G Suite, Zoom, Microsoft Teams, Airtable and Adobe Preferred. Experience with industry-specific technology and platforms (e.g., FinalDraft, Pix, Scenecronize, IMDBPro, Studio System).
