Position Overview This role combines project management, executive support, and cross-functional coordination. Working in close partnership with the Administrative Assistant to the CEO, this role drives the project work for the Executive office. The ideal candidate is a self-starter who thrives in a fast-paced environment, can juggle multiple responsibilities, and ensures that both strategic projects and executive priorities are executed seamlessly. You will manage projects across departments, oversee sourcing and facility operations, and streamline internal processes. This position requires someone who is adaptable, detail-oriented, and skilled at driving deadlines forward while maintaining high standards of organization and efficiency. Key Responsibilities Project & Operations Management Oversee and execute ad hoc projects across multiple locations, ensuring alignment with company goals. Coordinate facility projects, ensuring all locations. Identify process inefficiencies and implement cost-saving measures to enhance operational effectiveness. Leverage technology to optimize scheduling, inventory management, and overall business operations. Executive Support & Cross-Department Coordination Handle confidential correspondence, reports, and documents with discretion and professionalism. Serve as a liaison between executives and internal/external stakeholders. Support systems onboarding and document management. Draft and edit high-level correspondence, memos, and internal communications. Represent leadership professionally in emails, meetings, and public interactions. Build and maintain strong relationships with vendors, partners, and stakeholders. Project Leadership & Development Assist in developing and executing operational strategies to support business growth. Foster a culture of accountability, teamwork, and continuous improvement. Collaborate cross departmentally with Spa Operations, Facilities, Finance, HR, Marketing, and Sales to streamline processes and enhance overall performance. Support financial planning, budgeting, and cost management initiatives. Document and implement operational policies, procedures, and protocols while training staff to ensure compliance. Leverage technology to enhance scheduling, inventory management, and customer service processes. Identify and implement cost-saving measures while improving operational effectiveness. Requirements & Qualifications Bachelor’s degree in Business, Project Management, Operations Management, or a related field preferred. 3+ years of experience in project management, executive support, or multi-location operations—preferably in the spa, hospitality, or wellness industry. Strong organizational and time management skills, with the ability to juggle multiple projects and meet deadlines. Proven cross-functional collaboration experience, with the ability to coordinate across departments and stakeholders. Excellent problem-solving and decision-making skills, with a proactive approach to identifying and resolving operational challenges. Strong financial acumen, including experience with budgeting, cost control, and vendor management. High level of discretion and professionalism when handling confidential information and executive communications. Proficiency in operational software, scheduling tools, and reporting systems to drive efficiency and optimization. Ability to work independently in a fast-paced, evolving environment while maintaining attention to detail.
