Job Description: This role is created to support the CTO in driving collaboration, coordination, and adoption of XOps systems and platforms across internal teams in Hanoi. The position focuses on ensuring smooth communication, governance alignment, and operational consistency between departments using the XOps system, rather than on deep technical development. The person acts as a bridge between the CTO, technical teams, PMO, and operational users, helping teams stay aligned, follow processes, and use internal platforms effectively. Scope of Work: Coordination & Collaboration Support Facilitate communication between teams involved in XOps-related projects (System, Platform, Internal Operations). Organize and document collaboration activities, ensuring action points are followed up. Track progress of XOps usage and adoption across departments. Act as a liaison between the CTO and cross-functional teams in Hanoi. System Adoption & Governance Remind and encourage teams to use XOps systems and tools consistently. Identify collaboration or workflow issues and propose practical solutions. Support PMO governance (under Truc Anh) by ensuring compliance with standard procedures and documentation. Administrative & Operational Support Assist CTO in scheduling, tracking initiatives, and preparing collaboration materials/reports. Maintain documentation of meetings, decisions, and platform-related communications. Coordinate onboarding or basic training sessions on collaboration tools and systems. Internal Communication & Engagement Help improve information flow between teams and leadership. Draft and share internal updates or reminders regarding system or collaboration initiatives. Serve as a key contact for questions related to XOps collaboration practices. Key Responsibilities: Ensure smooth day-to-day collaboration under CTO’s direction. Support and monitor the adoption of internal systems and platforms (XOps). Document and follow up on action items across teams. Facilitate alignment between technical and non-technical stakeholders. Support governance and reporting requirements (in coordination with PMO). Key Requirements: Education & Experience Bachelor’s degree in Business Administration, IT Management, or related fields. 4+ years of experience in project coordination, operations, or internal communications, preferably in a tech-driven organization. Experience working closely with technical leadership or cross-functional teams is an advantage. Skills & Competencies Strong organizational and coordination skills. Excellent communication and interpersonal abilities. Familiarity with project management or collaboration tools (e.g., Jira, Confluence, Teams, Notion, or similar). Proactive, detail-oriented, and able to manage multiple follow-ups simultaneously. Comfortable working in a fast-paced, evolving technical environment. Vietnamese proficiency, English is a plus.
