Job Description This Personal Assistant role, supporting the SVP, Film Operations, plays a central part in ensuring the smooth and efficient day‑to‑day running of the SVP’s office, with exposure to international stakeholders and a broad range of theatrical operations activity. You will also coordinate a varied portfolio of projects and events spanning servicing, dubbing, technical delivery, and international post‑production, working closely with international colleagues. Key Responsibilities Act as a trusted partner and right-hand support to the SVP, Theatrical Operations You liaise confidently with senior stakeholders including L.A. executives, international directors, producers, and company leadership Manage the SVP’s diary, prioritising internal and external meetings and appointments Coordinate meetings end-to-end, including booking rooms, preparing agendas, and taking minutes Build and maintain strong working relationships with internal teams and external partners Support key projects by creating presentations and supporting materials (e.g. Localisation and delivery of materials timelines, slides for presentations to different stakeholders, organize data into charts/excels) Manage complex international travel arrangements including flights, ground transport, visas, itineraries, and coordination with territory offices (primarily for the SVP, with occasional support for external vendors or team members). Process and reconcile expenses and corporate credit card submissions accurately and in a timely manner Monitor and manage email communications, escalating priorities and responding where appropriate Raise and approve purchase orders for the SVP office Screen, organise, and prioritise calls Draft and distribute professional correspondence Coordinate gifting and thank-you initiatives Additional Responsibilities Alongside direct SVP support, the role provides administrative support to the wider team, while also leading on individual projects and end‑to‑end event delivery.
