JOB OVERVIEW

We are seeking a highly organized and proactive Assistant Administrator to support our team in various administrative functions. The ideal candidate will possess strong multitasking abilities and excellent communication skills, ensuring efficient office operations and effective project coordination. This role requires an individual who is detail-oriented and can manage multiple tasks while providing exceptional executive administrative support. The position is full time, with the goal of transitioning into the role of Administrator as our current administrator moves towards retirement.
The Homestead is a small, private non-profit organization dedicated to providing a safe and comfortable living space for our elderly residents. There is a dedicated Board of Directors to assist and support the Administrators.

EXPERIENCE

  • Bachelor’s Degree (or Associate) with at least 4 years of work experience, at least one in administrative roles, including personal assistant experience or executive administrative support.
  • Strong communication and organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with DocuSign for document management is a plus.
  • Excellent typing skills with attention to detail for accurate data entry and filing processes.
  • Experience working with the elderly and with complex multigenerational dynamics.
  • Experience with food and facility safety, or ability to acquire.

    Pay: $55,837.86 - $67,245.60 per year

Responsibilities
  • Provide comprehensive administrative support to the Administrator and team members, including scheduling, documentation, bookkeeping, fundraising and event planning, and Board development.
  • Ensure compliance with local, state and federal regulations, policies and requirements.
  • Manage office operations, including filing, data entry, and clerical tasks to maintain an organized workspace.
  • Utilize QuickBooks for bookkeeping tasks and financial record management.
  • Handle phone etiquette with professionalism.
  • Prepare documents through proofreading, transcription, and formatting using Microsoft Office and Google Workspace tools.
  • Maintain accurate records and assist with customer service inquiries as needed.
  • Support project coordination efforts by tracking progress and deadlines for various initiatives.
