POSITION SUMMARY

Reporting to the Dean of the College, the College of Liberal & Creative Arts (LCA) Dean’s Assistant provides administrative support to the Dean and schedules meetings for the Dean as well as college wide meetings. Assists with confidential tasks, projects and correspondence and prepares reports for the Dean as needed. Incumbent manages the Dean’s calendar and communicates information to college community and external partners as needed. Provides lead work to key Dean’s Office staff members and student assistants.

MINIMUM QUALIFICATIONS

Requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or

improvement of administrative policies, procedures, practices, or programs.

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in varioussituations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

PREFERRED QUALIFICATIONS

  • Two years of experience providing high-level administrative support to a large, complex department ororganization.
  • Knowledge of programs, policies, procedures, faculty, and staff within the College of Liberal & Creative Arts.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and HRMS, Concur, PageUp
  • Ability to investigate and analyze problems and propose and implement solutions that complies with university policies.
  • Ability to work with a diverse group of students, faculty, and staff.
  • Event coordination, logistics and hospitality experience
  • Travel booking and reservation management experience
  • Grant-writing and fundraising experience
  • Experience in an academic environment.

Responsibilities

Administrative Duties for Dean of College

  • Assists Dean in coordinating with key stakeholders and college administrators in ensuring that projects critical to the college mission are efficiently handled with a high degree of accuracy and professionalism
  • Evaluates and prioritizes all requests to the Dean from faculty, staff, students, as well as other on- and off-campus community members
  • Maintains the Dean’s calendar. Has the ability to make judgments on and prioritize meeting requests, and to make sensible arrangements to Dean’s schedules.
  • Maintains confidentiality of meetings and other arrangements as appropriate.
  • Plans, organizes and sets up all regular meetings for the Dean; coordinates events, retreats, and other special meetings to be hosted by the Dean.
  • Supports the Dean in drafting communications to be sent to internal and external partners and in maintaining strong relationships with internal and external partners
  • Coordinates Dean’s participation at university and college functions, including Commencement, department celebrations and student recognition events.
  • Makes travel arrangements and processes reimbursement paperwork for the Dean as well as for T/TT faculty search finalists
  • Works effectively with the Associate Deans to become and remain up to date on the college’s departments and schools and keeps the Dean informe
