Join the KOSTAL team now and enjoy a unique working culture! Job Description · Document handling: Preparing presentations, reports, letters, internal communications, and employee announcements. Keeping records of employee requests. · Substantive support: Supporting meeting and conference preparation; taking meeting minutes; tracking status and deadlines of assigned tasks; managing document flow and verifying documents before managers signature. · Representation: Receiving guests, scheduling external meetings, handling correspondence and phone calls. · Calendar management: Coordinating meetings, board sessions, and business trips. · Travel organization: Comprehensive business trip logistics (tickets, accommodation, transport). Qualifications · Minimum of 2 years of experience in a similar position (executive assistant, secretary, board assistant). · Higher education (preferred fields: management, economics, law, or related area). · Fluent spoken and written English and Ukrainian are required. Communicative Polish is also required. Knowledge of Czech and German is an asset. · Excellent command of MS Office (Word, Excel, PowerPoint) and office equipment. · Basic understanding of economics, law, accounting, and business etiquette. · Ability to use work organization tools (e.g., calendars, document management systems, AI tools). · Ability to work under time pressure. · Discretion in dealing with business partners and colleagues, relationship-building, and empathy. · Ability to handle crisis situations. · High accuracy in preparing and verifying documentation. · Professional image and high ethical standards. · Availability and time flexibility.
