Position Summary:
Reporting to the University Registrar and Executive Director of Enrolment Services, this position provides executive-level administrative support that aligns with the University’s mission, strategic priorities, and Enrolment Services’ objectives. The role is responsible for enhancing the effectiveness of Enrolment Services by developing and implementing efficient administrative processes, coordinating key deliverables across the unit, and supporting compliance initiatives. Acting as a central liaison, this role ensures consistent communication and effective collaboration with University departments, external organizations, and stakeholders, while delivering responsive, student-centered services. The position also plays a critical role in team-building activities, engagement initiatives, and the seamless onboarding of new team members to foster a cohesive work environment.

Duties and Responsibilities:

  • Coordinate deliverables across Enrolment Services, tracking progress and milestones for projects, events, and key initiatives.
  • Develop and foster relationships with University departments, other institutions, and external entities to facilitate collaboration.
  • Organize, schedule, and support meetings and events, including committee meetings, conferences, and team-building activities.
  • Prepare agendas, back-up documentation, and take minutes for Leadership Team meetings; follow up on action items to ensure timely completion.
  • Coordinate logistics for events such as leadership retreats and recognition events, as well as ad hoc events as required.
  • Implement and oversee administrative standards and systems in alignment with unit goals, ensuring continuous improvement and adherence to established quality requirements.
  • Ensure University regulations, policies, and guidelines are applied across unit activities, including access to information requests, and compliance reporting.
  • Manage expenses and travel arrangements for the Registrar and Executive Director, submitting expense reports in a timely and accurate manner.
  • Conduct research, benchmarking, and analysis to complete special projects; prepare comprehensive reports for leadership review and institutional compliance.
  • Compile statistics and data for reports, as part of government and institutional reporting requirements.
  • Support the development of new initiatives, providing critical information for strategic decision-making.
  • Respond to inquiries from students, and other stakeholders with professionalism and discretion, providing clear and accurate information.
  • Facilitate student-facing services, documenting needs and addressing issues as they arise to ensure positive experiences.
  • Update the Enrolment Services website, ensuring content is current and reflects the unit’s goals and activities.
  • Support onboarding, engagement, and team-building activities to foster a positive and collaborative work environment.
  • Support Leadership Team initiatives by providing resources, managing documentation, and ensuring clear communication on expectations.

Other Qualifying Skills and/or Abilities:
Demonstrated high level of professionalism, organizational skills, and attention to detail. Proven ability to prioritize and manage multiple tasks in a fast-paced environment. Strong interpersonal skills to collaborate effectively within a team, share knowledge, and contribute positively to team goals. Advanced communication skills in English and French, both written and verbal, with the ability to liaise with diverse stakeholders. Proficiency in using MS Office, Adobe, web content tools, and other digital tools relevant to administrative and communication functions. Experience working with students or in a service-oriented role within a higher education setting is an asset.
