Description:
You will directly support the VP [business area] in our Technology department and you will be aligning with a cross-functional / location team (Berlin, Dublin, Helsinki) to ensure that Zalando’s business units operate effectively and efficiently. The successful candidate will require diverse administrative and organizational skills in order to support the department leader and their team in their daily work to ensure the smooth running of their business unit. This is a dynamic, hands-on position offering deep insights into Europe’s most innovative Online Fashion Platform with a requirement to work with colleagues on cross location topics.

Responsibilities
- Support the designated Director/VP and their team with administrative and organizational tasks and proactively anticipate their needs. This includes coordinating and scheduling appointments with internal and external stakeholders to ensure smooth day to day engagements.
- The team is located in Berlin and Dublin respectively, special attention is required from this position to ensure meetings fulfill their purpose, select appropriate times to maximize stakeholder attendance & be responsible for the preparation of meeting agendas.
- Extensive calendar and travel management coordination.
- Responsible for VP expense management.
- Help support and promote cross location collaboration by coordinating department All Hands & team offsite events.
- Support with coordination tasks across the management team, this includes record taking at regular business meetings and following up on actions with the relevant owners.
- Manage and communicate with internal and external stakeholders in order to align focus on prioritisation of topics.
- Manage business unit specific ad hoc projects.
Experience Required
- 3+ years experience working in an environment where you have displayed organisational and analytical thinking capabilities with a focus on supporting senior leadership, ideally in a tech organisation.
- Excellent communication skills in English (ideally in German also) as well as the confidence to communicate with all levels of hierarchy.
- Strong attention to detail and time management skills.
- Proven stakeholder management experience.
- Strong administrative and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities.
- Ability to take initiative, anticipate change to plan accordingly, understand deadlines and support multiple initiatives at the same time.
- Preferable but not essential to have calendar & travel management experience.
- Working knowledge in Google Business Apps such as Google Docs, Sheets, Slides, Hangouts etc…
- Proficient working knowledge of project management tools (e.g. Asana)
- Preferable - cross location coordination experience.
