Position Type / Expected Hours of Work: This is a full-time position that works on average 40 or more hours a week. Additional hours may be required. This position has a standard work week of 7:30am-4:00pm Monday through Friday; schedule may vary based on agency needs at the discretion of the direct supervisor and/or CEO. Summary: The Assistant Transportation Supervisor is responsible for assisting the Transportation Manager(s) with the coordination, scheduling, dispatching and evaluation of transportation services and programs that support individuals with disabilities, older adults and those with transportation barriers. Essential Functions: This is not intended to be an exhaustive listing of job functions. Essential functions of this position include: * Assist Manager in reviewing payroll for personnel assigned to your program. * Ensure all prescribed safety practices and agency policies are followed by transportation staff at assigned location(s). * Assist in monitoring the condition of vehicles at assigned location(s) and report the need for both preventative maintenance and repairs to the Fleet Manager. * For evaluation purposes, conduct random observations at assigned location(s) to determine driver’s compliance with pick-up and drop-off procedures, as well as their driving abilities. * Assist Transportation Manager(s) with the scheduling process of drivers to ensure transports at assigned location(s) or program(s) are appropriately staffed. * Be the primary point of contact for questions or concerns at assigned location(s). * Oversee dispatch at assigned location(s). * Coordinate receipt or distribution of all required documentation and reporting between assigned location(s) and Pioneer Resources as needed, including safety data, mileage reporting and audit information requests. * Assist Transportation Managers with administrative related work for assigned location(s), as needed. * Coordinate and communicate responses to all grievance, complaint and incident reports related to assigned location(s) participants; provide input and resolution to all necessary parties within required reporting period (24 hours). * Conduct monthly routine meetings with assigned location(s) to coordinate proactive resolutions and overall process improvements. * Maintain a working knowledge of relevant collective bargaining agreements, abide by the terms of the agreement and work with assigned stewards to promote efficiency and teamwork. Education/Talent Requirements: * A Bachelor degree in business administration, public administration or a closely related field and at least one year of experience with transportation services or human services, preferably in a supervisory position, OR a high school diploma with two to three years of experience in transportation or human services is preferred. * The ability to read and write English, and the ability to comprehend written instructions and record information. * An ability to communicate clearly orally and in writing. * The capacity to work in a team with intermittent supervision. * The ability to work respectfully and courteously with a wide variety of individuals. * This position may require driving. Individuals must have a valid Michigan driver’s license with three (3) or more years of driving experience, less than six (6) points, and no exclusionary violations on driving record. * Excellent computer skills with experience in computerized routing systems, fleet management, word processing, spreadsheets and data entry. * Must pass all required background checks, physicals, and drug screens. If the background check reveals disqualifying information, employment shall be terminated unless the disqualifying information was successfully appealed as inaccurate, expunged or set aside. Travel: Up to 25% Company vehicle may be supplied, but is not guaranteed. This employee may be required to travel to meetings at other locations and for daily work between the locations in Muskegon. Work Environment: This employee usually works in an office environment but may be required to perform job duties outside of the typical office setting. Moderate noise (i.e. business office with computers, phone, printers, and light foot traffic). Ability to work in a confined area. This position works in close proximity to people. While the majority of working time is spent indoors in a residential environment or office, employees in this position may work outdoors in all seasons for short periods of time, e.g. assisting a resident into a vehicle, taking a resident on an outing, snow removal, etc. Physical Demands of the Job: Primarily sedentary work: while performing the duties of this job, the employee is regularly required to, stand, walk, sit, talk, hear, and use hands and fingers to operate a computer, telephone, keyboard, etc. May be required to reach, stoop, or kneel to perform miscellaneous duties. Occasional light lifting up to 25 lbs may be expected. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, extensive reading, and various visual inspection requirements.
