JOB SUMMARY

Assistant Transportation Logistics Specialist will assist the Transportation Logistics Specialist. This position will assist with the management of the stipend and per diem disbursements and tracks the usage of these funds with reconciliation. This position reports to Program Director.

  • Manages coordination with travel and transport in order to secure travel arrangements.
  • Point of contact with Copa Cabana regarding travel booking, changes, cancellation, and delays.
  • Coordinate time-efficient ground or air transportation arrangements for transport to and from local hospitals, medical and dental appointments, court, airport, or other locations, and to release UAC to the sponsor.
  • Assist with the coordination of travel arrangements for program staff transporting youth for reunification or transfer purposes, which includes booking airfare, hotel, and rental car if needed.
  • Responsibilities include create and managing traveler profile, managing travel tickets, other travel documents, itinerary and scheduling.
  • Arrange overnight reservations as needed.
  • Ensure constant line of communication with the staff during the transport.
  • Responsible for advising employees on special or adverse conditions as they relate to individual travel plans, monitoring flight delays and changes, and monitoring any security/life safety concerns for program personnel traveling.
  • Ensure the scheduling meets the operations and program requirement and needs.
  • Record and submit Per Diem Log, reimbursement, Emergency Travel Stiped Log, Copa Cabana Log, Welfare Log for payment processing.
  • Record and prepare report on local reunifications, flights, and the type of release. Provide support to the case management department for reporting requirement.
  • Ensure accurate and timely completion of documentation as required by state and federal regulations, to include ensuring that all services provided to youth are documented in the client record and required databases in accordance with state and federal regulations.
  • Comply with Dynamic Service Solutions and U.S. Government policies and procedures governing the program and ensure that the program is operating at maximum efficiency.

QUALIFICATIONS AND REQUIREMENTS

  • Bachelor’s Degree in Human Services or similar field is preferred.
  • Bilingual (English/Spanish)
  • Proficient in Microsoft Office. Must be computer literate with working knowledge of Microsoft Windows (Word Perfect, Microsoft Word, Excel).
  • Prior experience in similar role is preferred.
  • Available to work evenings and weekends as needed. It is required for this position to be on call 24/7 for travel related incidents. Willingness to provide operational support outside of business hours.
  • Exceptional organizational and time management skills.
  • Great communication and collaboration skills.
  • Excellent analytical and problem-solving skills.
  • Must be bilingual (English/Spanish)

WORKING CONDITIONS/ PHYSICAL EFFORT

Work is performed mostly in an office setting. Some overnight travel, public speaking, evening and weekend work are requirements of the position. Regular computer works also required. While performing the duties of this job, the employee is required to stand; walk; sit; finger, handle, or feel objects, or controls; reach; climb stairs; balance; stoop, kneel, or crouch; talk and hear. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
