Purpose
To participate in the planning and delivery of academic advising and student success functions for students in the Steve Hicks School of Social Work Undergraduate Programs, demonstrating a beginner/intermediate level of expertise and skill. Responsible for understanding and interpreting the requirements and academic options in the specific area and in other campus departments to facilitate the student’s pursuit of social work.
Responsibilities

Academic Advising

  • Advise BSW students on academic planning, course selection, degree requirements, academic progress, deadlines, SHSSW and university policies, and campus resources.
  • Meet individually or in groups with students to support their development.
  • Collaborate with BSW advising staff, including student team members, to ensure students receive accurate, timely support and information.
  • Assist with registration-related tasks including prerequisite waivers, non-major registration support, and add/drop processing.
  • Record student interactions in Advisor’s Toolkit, maintaining documentation in accordance with FERPA and university policy.
  • Provide proactive referrals to campus services such as mental health, financial aid, and academic support.
  • Support the Senior Advisor in advising-related administrative tasks and initiatives

Student Recruitment and Communication

  • Serve as a first point of contact for prospective BSW students (e.g., internal/external transfers, visiting students).
  • Facilitate information sessions and advising for internal transfer students exploring or entering the major.
  • Present program information to prospective students and families in individual and group settings.
  • Collaborate with University Admissions to align BSW recruitment efforts, ensure visibility in campus-wide materials, and participate in all relevant admissions events.
  • Maintain accurate materials on the BSW website and online platforms.
  • Produce and distribute a weekly electronic newsletter for current BSW students highlighting events, deadlines, and opportunities.
  • Assist with digital communication strategy and ensure advising resources are current and accessible.

Program Management

  • Participate in orientation programming for first-year and transfer students, in collaboration with New Student Services.
  • Assist in organizing and executing student-facing events such as workshops, Q&A sessions, and program briefings.
  • Maintain confidential digital records in Box and other systems as appropriate.
  • Represent BSW advising during major SHSSW or UT-wide events including but not limited to Welcome to Texas, Gone to Texas, Honors Day, ACC to UT, and Commencement.
  • Participate in professional development activities (the university’s Academic Counselors Association, NACADA, etc.)
  • Assist with data collection and reporting to support assessment and planning.

Social Work Education Enhancement Program (SWEEP)

  • Support SWEEP program operations under the direction of the BSW Program Coordinator
  • Assist with mentor recruitment, onboarding, and training logistics.
  • Help coordinate student engagement activities such as community-building events, check-ins, and social work-related programming.
  • Provide administrative support for SWEEP mentor/mentee tracking and communication.

Additional Duties

  • Perform other related duties as assigned.

Required Qualifications

  • Bachelor’s degree in related field (equivalent combination of relevant education and experience may be substituted as appropriate.)
  • Experience working with students in a higher education or college-preparatory setting, such as academic support and planning, student engagement, or student development.
  • Demonstrated ability to prioritize job tasks in dynamic circumstances without sacrificing accuracy and attention to detail.
  • Demonstrated ability of excellent interpersonal, verbal, and written skills.
  • Comfort with public speaking, including phone/video calls, delivering presentations and communicating with individuals or groups
  • Solid knowledge of office productivity tools, such as Mac OSX and Microsoft Office.
  • Strong orientation toward teamwork, with the ability to work effectively across roles and functional areas
  • Ability to take initiative and work independently.
  • Flexibility and adaptability in responding to the needs of students and the advising team

Preferred Qualifications

  • Master’s degree in a related field and 2 years’ experience working with college students in an academic counseling capacity in a university setting and/or at University of Texas at Austin.
  • Experience with UT student services procedures and/or experience in student personnel programs.
  • Knowledge of university resources and administrative applications.
  • Familiarity with campus culture and student life.
  • Proficiency with UT course management and student information systems, including Advisor’s Toolkit, EASI, NRRECS, , and the Grade Reporting system.
  • Admissions and recruitment experience.

Salary Range
$42,000+ depending on qualifications

Working Conditions

  • Standard office conditions with the majority of time spent in contact with students, parents and student groups during usual office hours.
  • Some evening and weekend work.
  • This position is based in Austin, TX and is required to work on campus

Work Shift

  • Monday – Friday (hours set by supervisor)
  • Occasional/seasonal evening and/or weekend work.
