JOB DESCRIPTION SUMMARY

The Business Assistant assist more senior Business Assistants in performing moderately complex clerical and administrative duties for the team and its members .- which includes handling correspondence, records and filing, answering and/or responding to telephone calls, reception duties (as needed), and any other clerical responsibilities deemed necessary for the efficient running of their reporting area .- in order to ensure seamless and efficient administrative support for the assigned business area.

MINIMUM EDUCATION REQUIRED

Completion of high school certificate 12 years, 2 years diploma is preferred

YEARS OF EXPERIENCE

Minimum 2 years’ healthcare clerical experience is preferred

Responsibilities

OPERATIONAL ROLES & RESPONSIBILITIES

  • Assist with daily administrative duties and complete a broad variety of clerical tasks
  • Help prepare and edit documents such as reports memos and emails as instructed
  • Support team members by maintaining filing systems both electronic and physical to ensure easy access to documents and records
  • File and retrieve corporate documents records and reports to facilitate efficient workflow
  • Maintain office supplies by checking stock to determine inventory levels anticipating requirements and placing orders when necessary
  • Coordinate logistics for meetings including room bookings equipment setup and preparation of meeting materials
  • Answer and direct phone calls take messages and field inquiries from internal and external stakeholders
  • Organize and schedule appointments ensuring all necessary preparation is completed in advance
  • Assist in the preparation of regularly scheduled reports ensuring accuracy and timely submission
  • Help with the arrangement of travel plans itineraries and agendas as required
