POSITION OVERVIEW:

As a member of the Academic Affairs Office, this knowledgeable individual is responsible for providing key support to the Provost. This role also effectively represents the Academic Affairs office and assists Program Chairs, Student Services, DSO, Instructional Design, Admissions, and Marketing. These responsibilities include managing various Academic Affairs activities, overseeing the Academic Catalog, organizing residential course schedules, contributing to the Academic Master Plan and overall Strategic Planning, providing administrative support, developing and project managing university workflows, and supervising classroom managers, amongst others. While onsite at Sofia’s Costa Mesa or Palo Alto campus or virtually, this individual will serve as a general point of contact for Academic Affairs and will provide a highly welcoming and supportive presence for faculty, staff, and students, ensuring they receive the support and assistance they need. This position will accomplish all assigned roles and responsibilities in a highly collaborative fashion, liaising with various offices and faculty/staff.

QUALIFICATIONS:

  • Bachelor’s degree and three years of relevant administrative experience, preferably academic.
  • Highly motivated self-starter with strong analytical, technical, and problem-solving skills with ability to troubleshoot complex issues and implement systemic solutions.
  • Excellent interpersonal, written, and oral communication skills.
  • Ability to be proactive, work under minimal supervision, with an appreciation for innovation, creativity, conscientiousness, and professionalism.

Responsibilities
  • Assist the Provost in various academic activities to include University-wide communications, reports, and presentations.
  • Work closely with Department Chairs to support course scheduling, program reviews, and workflow deadlines.
  • Primary Contact for all Academic Catalog updates; maintain, audit, and revise online Academic Catalog.
  • Support Provost in development and revision of academic policies, procedures, and processes .
  • Provide accreditation support to Provost and ALO, including supporting reaffirmation visits and self-study, substantive change requests and proposals.
  • Manage Classroom Managers, including onboarding, supervising, and scheduling at both Palo Alto and Costa Mesa campuses.
  • Work with Department Chairs to update department websites and faculty profiles.
  • Organize New Faculty Orientations, including communicating with leadership and presenters to determine orientation schedules and organizing materials.
  • Update Academic Affairs websites and SharePoint sites.
  • Maintain academic calendar and provide support for departmental program reviews and assessments.
  • Maintain calendars and contact lists, schedule meetings, one-on-ones, and other events, provide support for meetings as requested.
  • Gather and compile data, research topics as requested and make suggestions.
  • Communicate with other staff members on behalf of Provost as requested.
  • Represent Provost and the Office of Academic Affairs in various meetings.
  • Assist with Coordinating Academic events – Orientation, Intensives & Seminars, Graduation, professional development, use of Costa Mesa Campus and other student activities.
  • Work closely with the Director of Institutional Research to support state authorizations and BPPE data collection.
  • Serve as a member of and provide administrative support (including collecting agenda items, preparing, and distributing meeting agendas and information, and taking meeting minutes) to the following groups: Provost Council; Chairs Council; Academic Master Plan; Additional meetings as requested.
