Job Description The Associate, Drug User Health plays a vital role in expanding the organization’s capacity to address the impacts of the intersecting epidemics of the war on drugs, HIV/AIDS, and viral hepatitis. The Associate’s core activities will be the provision of administrative and logistical support to NASTAD’s Drug User Health team in the administration of funding and the delivery of technical assistance (TA) and training to infectious disease and overdose prevention programs across the country, especially Syringe Service Providers (SSPs). This role is integral to the team’s operational effectiveness, working closely with staff to manage workflows, track project activities and deliverables, support scheduling and documentation, and support coordination across multiple, concurrent programs and activities. This position will report to the Senior Manager, Drug User Health and will be expected to work with other NASTAD teams to support collaborative activities across programs. Essential Duties Maintain a cross-project calendar of activities, events, and deliverables. Execute logistical and administrative tasks for events, such as scheduling, registration, notetaking, coordinating event logistics, liaising with hotel/conference venue staff, and coordinating reimbursements for non-staff travel. Enter accurate data into online platforms in a timely manner. Optimize software workflows to enhance team efficiency and program outcomes (e.g., Salesforce, ClickUp). Execute grantmaking administrative tasks related to invoicing, contracting, grantee reporting, and reporting to Federal partners. Coordinate external communication by managing email listservs/google groups and drafting or editing messages. Assist with the development of work plans, memos, meeting minutes, standard operating procedures, policies, and email communications. Interact with and respond to the needs of health department and community-based organization staff members in a timely manner. Manage project-related files by ensuring that all necessary materials are included, completed, organized, and up to date. Assist with the development, review, and delivery of technical assistance resources. Ensure project management tools are up to date and accurately track timelines and progress toward deliverables in alignment with federal grant requirements. Qualifications Skills/Knowledge/Abilities Strong attention to detail and administrative skills. Strong software skills, especially Salesforce, Microsoft Office Suite, Zoom, and project management software such as ClickUp. Knowledge of harm reduction and trust-based philanthropy values. Ability to manage multiple priorities and competing deadlines in a fast-paced environment Strong oral and written communication skills Experience/Education Bachelor’s degree or higher or any equivalent combination of training, education, and experience that demonstrates the candidate’s ability to perform the position’s duties. At least 2 years of related work experience. At least 1 year of experience using a grants lifecycle management system, such as Salesforce, preferred. Experience working in public health, drug user health, viral hepatitis, HIV, or related field is preferred.
