Position: Associate International Sales Operations Location: Dubai Department: Sales & Trade Operations Reporting to: Sales Operations Team Industry: Bulk Commodity Trading Role Overview We are seeking a detail-oriented and proactive Associate Sales Operations Executive to support the post-sales operations for our commodity trading business. This role involves end-to-end contract execution, coordination with sourcing and shipping teams, and ensuring smooth documentation, banking, and client interactions related to shipments. Key Responsibilities • Prepare and issue post-sale Sales Offers and Confirmations to clients. • Coordinate contract execution and ensure timely performance as per agreed terms. • Liaise with sourcing teams and clients to monitor shipment schedules and readiness. • Coordinate with the vessel operations and shipping teams to align shipment schedules, vessel laycans, and loading plans. • Track and monitor shipment progress, update internal trackers, and maintain accurate shipment records. • Prepare and compile shipping documents such as invoices, packing lists, certificates of origin, bills of lading, and any custom-specific documents. • Issue NN documents and forward complete sets to clients within stipulated timelines. • Prepare documents under Letter of Credit (LC) and Cash Against Documents (CAD) terms; ensure compliance with UCP600 and negotiate documents with banks accordingly. • Follow up with clients and banks to ensure timely payment realization. • Maintain and update the Outstanding Payments List (O/S list) and share regular updates with the team. • Assist in managing internal documentation and reporting workflows using Excel, G-suite, and collaborative tools. • Digital Record Keeping Candidate Requirements Education: • Graduate in any discipline • Specialization in International Business, Commodity Trade, Sales and Marketing or related fields will be preferred. Experience: • 2–4 years in a similar post-sales or trade operations role within a commodity trading, , or export-import company. • Freshers with a strong academic background and a flair to learn will also be considered. Technical Skills: • Advanced proficiency in Excel, Word, PowerPoint. • Comfortable using G-suite tools (Sheets, Docs, Drive, etc.). • Experience with Slack, Notion, Adobe Acrobat/Reader, and internal collaboration systems. Language Skills: • Good command of English (written and spoken) is essential. • Knowledge of an additional foreign language such as Russian, Greek, or German will be an added advantage. Soft Skills: • Strong organizational and time management skills. • Detail-oriented with a high level of accuracy. • Effective communicator – written and verbal. • Ability to multitask and work under tight timelines.
