Responsibilities: The associate will be responsible for Assisting the Supervisor in coordinating and ensuring that foreign students are registered with the government department, as well as obtaining the NOC and other documentation required by government agencies to facilitate the study visa application, including visiting the government offices. They will also be responsible for managing and coordinating with AKU-MC departments to manage the national and international elective application procedure for students from other medical/physiotherapy institutions and assisting the office in organising auditions for the selection of speakers/Qari at the Convocation and collating statistics. Any other responsibility entrusted by the University. The incumbent will be responsible for: Scrutinizing the applications and checking the eligibility criteria; Verifying elective fees with the Finance Office; Sending a list of eligible applicants to the respective faculty/ supervisors; Receiving approval from faculty and send the acceptance to selected applicants; Providing completed "Temporary ID card" forms to the ID card office/security office for further processing; Sending a memo to the Manager Hostel to check the availability of rooms in the hostel for approved students; Taking attendance and distribute the temporary ID cards to the students; Giving a brief introduction of the Elective Programme and campus tour to the selected students; Sending a list of Elective students on the day one to the library; Processing of evaluation forms upon completion of rotation; Before issuing evaluation forms, collecting temporary ID cards; Dropping off students to their respective departments; Assisting students in completion of online Study Visa application; Coordinating with Government officials for student verification purposes; Providing list of foreign students to agencies as per the template as when required; Facilitating students for submission of their equivalence application to the statutory bodies; Participating in the events organized and managed by Office of the Registrar e.g University Convocation, Admission Test; Assisting the supervisor for auditions organised for the convocation ceremonies like speeches and tilawat auditions and special guests/awardees invitations; Participating in the admissions cycle and handling the data entries for Undergraduate, Graduate and PGME programmes; Supporting the Supervisor in enrolment statistics, ranking proformas, and any other related tasks entrusted by the supervisor; Assisting the supervisor for ranking and other statistical proformas Qualifications: The incumbent must have: A Post Graduate Degree At least five-years of administrative experience. Preferably working with students in an academic setting. Excellent verbal and written communication in English. Proficiency in the use of Microsoft Office applications. Advanced knowledge of Excel and other tools Experience with Peoplesoft Campus Solution will be an added advantage. Comprehensive reference checks will be conducted.
Responsibilities
