Job Description What is the opportunity? As an Operations Associate II – Mail & Distribution, you will be responsible for handling all Incoming/Outgoing mail and processing activities such as sorting, inserting client documents in a timely manner to provide a positive client experience. Additionally, you will be responsible for securely handling pickup and delivery of stock certificates, cheques, documents, etc. from brokers, banks and other institutions throughout downtown core. You will liaise with various operations departments to research and investigate inquiries and issues, as well as resolve concerns with the aim to provide a seamless operations service experience. What will you do? Provide accurate processing support for standardize and/or manual processes within Mail & Distribution Department. Messenger - Plan and follow most efficient routes for pickup and delivery or high value items. Maintain highest degree of security and control of documents at all times while keeping record of daily deliveries and pickups. Assist with opening mail and distribute as per Internal Controls. Support team in all weekly/monthly high volume mailing to meet team benchmarks and service level agreements. Accurately review, verify, and/or record data into technology supporting department processes. Understand department procedures and required accountabilities in the area or department in which the incumbent works. Refers to department manuals for instructions and task assignments for the specific role. Liaise and provide customer service support for individuals requiring research, problem resolution, or securing information from other Operation’s departments, RBC Business Units, external customers or industry participants. Address escalated questions independently; seeking assistance from Team Lead or Manager as appropriate following established department procedures. Reduce risk or increase efficiencies by suggesting process changes and system modifications. Participate in testing and implementation of new systems and processes as required. Perform other duties and responsibilities as assigned. What do you need to succeed? Must-have 4-year degree from an accredited university (or equivalent) OR High school diploma (or equivalent) AND 2 years of job-related experience. Effective problem identification, analytical, and resolution skills along with proficient computer skills in Windows-based software products. Effective exceptions based processing skills. Ability to communicate effectively both verbally and in writing, excellent customer service skills, organizational skills, and superb attention to detail. Ability to handle multiple priorities in a fast-paced and deadline driven environment. Strong teamwork and relationship building skills, as success is dependent on working in co-operation with others This role is fully in-office, 5 days a week Nice-to-have PC literate in MS Office applications Excel Prior banking experience in Operations/Back Office is an asset Process Improvement and innovation.
