Description TNG is a national multidisciplinary risk management consulting firm that serves thousands of college, university, and school organizations and is one of the largest education-specific consulting practices in the country. We focus on risk management solutions, behavioral intervention, threat assessment, Title IX compliance, external investigations, expert services—including expert witness testimony—and the development of custom solutions. TNG also manages two industry-leading professional associations: The Association of Title IX Administrators (“ATIXA”) and The National Association for Behavioral Intervention and Threat Assessment (“NABITA”). Title: Specialist, Associations Reports to: Executive Director, NABITA; Assistant Vice President, Associations Direct Reports: N/A Department: Associations Job Type & Hours: Full Time Classification: Exempt Work Location: Remote; every 6 weeks in King of Prussia, PA Headquarters Office (you must be able to commute to King of Prussia, Pennsylvania for one day every 6 weeks) Travel: 0%; Travel optional to company events as needed Position Summary: The Specialist, Associations serves as the front line of member and client support for ATIXA (Association of Title IX Administrators) and NABITA (National Association for Behavioral Intervention and Threat Assessment). This role delivers efficient, friendly, and detail-oriented service to members, prospective members, clients, and event participants, ensuring a positive and professional experience. The Specialist manages activities within the Association Management System (AMS), processes routine transactions, ensures database accuracy and integrity, and supports a wide range of internal and external association programs and initiatives. This position collaborates closely with colleagues across the Associations team, as well as with external vendors and partners, to ensure seamless coordination and exceptional service delivery. Responsibilities: Emails and Communications Serve as the first point of contact for clients, members, and prospective members via phone, email, and live chat. Respond to inquiries promptly, and direct individuals to the appropriate staff or online resources. Manage incoming communications from event and member inboxes and phone lines. Provide accurate information regarding training and certification programs, membership options, products, and services. Complete association vendor forms and process invoices related to association programs and services. Escalate complex or unresolved issues to the Senior Specialist or appropriate Association leadership. Maintain and update FAQs, email templates, and live chat responses to improve efficiency and consistency. Membership and Programs Process new memberships, renewals, and client-related requests. Generate and maintain membership reports to support tracking and analysis. Send onboarding materials to new members and assist with engagement initiatives. Conduct regular data entry and data integrity tasks to ensure accuracy and consistency. Manage job board postings and coordinate outreach for membership promo codes. Support basic accounting functions related to membership billing and tracking. Systems and Reporting Enter new records, maintain contact notes, and ensure data accuracy within databases. Update member directories and lists. Perform monthly data integrity tasks. Event Support Serve as the primary moderator for virtual training sessions. Track attendance, manage participation data, and update records accordingly. Assist with preparation and on-site support for the annual conference(s). Assist with annual training and certification events, as needed. Assist with registrations for association trainings and events. Shared and Collaborative Collaborate with team members on shared projects and provide support as needed Share feedback from client and member interactions to inform ongoing process and system improvements. Contribute to the implementation of new workflows and process improvements. Provide administrative and operational support to other association initiatives as directed by leadership. Other duties as assigned. Requirements Required Education, Skills, & Experience: Demonstrated commitment to providing excellent member and client service with professionalism, patience, and clarity. Strong organizational and multi-tasking skills, with the ability to manage multiple priorities and meet deadlines. Excellent attention to detail and accuracy. Experience with Association Management Systems (AMS) or Customer Relationship Management (CRM) tools preferred. Collaborative and team-oriented, with strong written and verbal communication skills. Strong problem-solving skills and initiative in addressing member and client needs. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Zoom. Work Environment This position is primarily spent in a professional office setting, using standard office equipment such as computers, phones, etc. This position is required to work occasional nights and weekends to meet company demands. If in a remote setting, this position requires reliable internet access and virtual collaboration tools. Physical Demands While performing the duties of this job, the employee will spend a significant amount of time sitting at a desk, working on computers. Prolonged use of a computer and keyboard is expected. Walking and standing is also common for this role, especially for collaborating with colleagues or coordinating program events. The employee must occasionally lift and/or move objects up to 10 pounds or more.
