Job Title: ATD Wardrobe
Reporting to: Executive Producer
Location: Calgary, Alberta
Type of Position: Seasonal Contract / Union

Direct Reports: Second Wardrobe, Touring Wardrobe Supervisor, Touring Wardrobe Assistant, Cutter, Stitchers, Dyer/Breakdown Artist, Make-up, Wig/Hair
Purpose: Reporting to the Executive Producer, the ATD Wardrobe is responsible for supervising all aspects of the performance wardrobe in preparation and building. The ATD Wardrobe will lead the day-to-day management of the department including general organization and oversight, scheduling, crew management, expense tracking, buying, build planning/execution and budget management as set by the Executive Producer.

QUALIFICATIONS

  • Sound interpersonal, team building skills, and a positive attitude.
  • Strong leadership skills.
  • 5 years minimum wardrobe experience that may include but not limited to theatre, film, and commercial experience.
  • 2 years minimum costume shop management experience preferred.
  • A post secondary education in either costume construction, theatre arts or fashion construction is of benefit, but not required.
  • Strong understanding of the costume design and build process.
  • Budget management skills an asset.

WORKING CONDITIONS / PHYSICAL REQUIREMENTS

  • The schedule in the studios is Monday to Friday 9:00am to 5:30pm. However, at times fittings may be scheduled as late as 6:00pm. In this case, it is at the discretion of the Lead Wardrobe to shift the appropriate crews schedule as to not incur overtime.
  • While performing the duties of this job, the employee is regularly required to stand, walk, use hands, and speak and hear. The employee must lift and/or move up to 25 pounds.
  • Must be prepared to use his or her own personal vehicle for occasional company business and will be reimbursed for such use on a per kilometer basis.
  • A demonstrable ability to handle a deadline oriented, fast paced environment.
  • Primarily working at the Alberta Ballet Studios when not in theatre for productions.
  • Attendance at ‘Runs in Costume,’ ‘Studio Dress Rehearsals’ and ‘Dress Rehearsals’ at the theatre are mandatory.
Responsibilities

RESPONSIBILITIES:

  • Oversee a safe work environment for wardrobe personnel.
  • Ensure a team member represents Wardrobe department on the Health and Safety Committee.
  • Crew scheduling and management.
  • Creates the season schedule for the wardrobe department based around performance dates and build requirements.
  • Manage the daily & weekly project deadlines as required by the demands of each production.
  • Encouraging a high standard of execution in costume construction and organization.
  • Hiring and managing IATSE crew as governed by the Alberta Ballet White & Pink Contracts to ensure proper resources for production preparation and execution.
  • Manage make up and wig/hair requirements as determined on a show-by-show basis. At times this will include hiring the appropriate individuals to complete prep and consultation in these departments.
  • Build and preparation for new creations and re-mounts/rentals.
  • Create a build schedule based on the budget provided by the Executive Producer.
  • Design breakdowns for new builds including build hours/piece.
  • Ensure wardrobe team organizes and prepares all documentation required for running the performances including Dresser Tracks, Costume Tracking, Fitting notes, Laundry Lists, Crate Lists, Make-Up & Hair notes.
  • Compile all new design information including materials used, vendors and material pricing.
  • Acti as the liaison between the costume designer and the wardrobe crew. Communicate the design and function requirements between wardrobe team and designers.
  • Assist/facilitate the designer in purchasing the appropriate materials for the new design.
  • Gather the costume information for rentals from the Executive Producer including arrival and departure dates, contractual requirements regarding alterations and cleaning and reviewing all running paperwork prior to the show’s arrival.
  • Determine if any supplemental pieces are required to fulfill the shows costume requirements. This can include men’s ballet boots, capes, etc.
  • Take fitting photos to be used in the creation of costume inventories and for archival information.
  • Manage the rebuild requirements for the Nutcracker on a yearly basis as determined by the age and functionality of the costumes.
  • Act as the buyer for the department and gathering supplies as needed.
  • Schedule dancer fittings with the artistic staff when required.
  • Loading / Strike
  • Oversee and coordinate wardrobe team packing of the wardrobe and supplies on loading day.
  • Oversee strike and unpacking of crates including sorting, laundering, drycleaning and return to origin as required.
  • On Tour Wardrobe Management:
  • Lead wardrobe crew, including casuals during load-in, performances and load-outs. Includes laundry, steaming and organization of dressing rooms and backstage changing spaces.
  • Ensure necessary documentation is provided to local wardrobe crew in theatre.
  • Expense tracking, budget management and reporting.
  • Track all expenses for the department including invoices and visa statements.
  • Monitor wardrobe expenses against annual budget provided by Executive Producer.
  • Ensure wardrobe expenditure and team hours are allocated to appropriate projects for financial reporting.
  • Administration
  • Responsible for the general organization of information contained within the wardrobe department.
  • Managing all digital files for the department.
  • Maintain the company wardrobe inventory at the company studios and the warehouse locations.
  • Coordinate bi-monthly inspections of workspace for health and safety requirements.
  • Special Event and Marketing support.
  • Manage requests for costumes that are required as part of special events, performances, and marketing/development opportunities.
  • This includes providing dressed mannequins and/or prepping costumes for small scale performances.

DIRECT REPORTS / SUPERVISORY DUTIES

  • Supervision of IATSE personnel (regular and casual crew) as required.
    The position of ATD Wardrobe is subject to the rates, terms, and conditions as outlined in the IATSE White Contract and Pink Contract. This position is included as Alberta Ballet Regular Crew. The position is subject to all Alberta Ballet company policies and procedures. All overtime must have written preapproval by the Executive Producer.
