About the Role As the Quality and Compliance Coordinator, you’ll play a pivotal role in maintaining and enhancing the Quality Management System (QMS) across multiple RTOs. You’ll manage documentation, support audits, monitor compliance, and help drive continuous improvement initiatives. Working closely with the Quality and Compliance Manager and other stakeholders, you’ll ensure that processes are not only followed—but continually improved. This is a behind-the-scenes powerhouse role that ensures everything runs like clockwork, stays compliant, and is always ready for review. Key Responsibilities: QMS Governance Keep all QMS documents up-to-date and formatted for publication. Draft updates for approval and maintain version control registers. Ensure consistency and accuracy across all RTOs. Support QMS improvements and ensure document control compliance. Compliance and Assurance Manage compliance registers and reporting schedules. Coordinate internal audits and prep for external ones. Track evidence submissions, audit findings, and follow-up actions. Risk and Governance Maintain and update the Risk Register. Monitor risk controls and action items. Prepare governance reports for leadership review. Continuous Improvement Maintain the Continuous Improvement Register. Track improvement actions through to evidence and completion. Flag recurring issues or opportunities to the Q&C Manager. Workforce Capability Monitor staff, trainer, and assessor qualifications and currency. Review compliance data and report on risks or gaps. Liaise with RTO Managers to resolve workforce compliance issues. Stakeholder Engagement Coordinate consultations with industry, community, and regulators. Keep all engagement records accurate and audit-ready. Scope and Product Management Support transitions and validations of training products. Maintain alignment of product documentation with current standards. Requirements About YOU You’re analytical, meticulous, and passionate about making sure systems run smoothly. You’re the kind of person who triple-checks your work, gets excited about audit readiness, and loves seeing evidence-backed improvements come to life. You’re naturally organized and solutions-focused. You bring a collaborative and proactive attitude. You’re confident with tech tools like SharePoint, Lists, Teams, and Power BI. You’re not just good with details—you thrive on them. About YOUR Work History You’ve got 3–5+ years of experience in RTO quality or compliance roles. You’ve coordinated internal audits and helped prepare for external ones. You’ve owned compliance systems and/or QMS processes. You understand the Standards for RTOs (especially 2025 updates). You hold a qualification in Training/Assessment, Compliance, or Business (desirable but not essential).
