Description Reporting to the Director of Sales & Marketing, the Auction Assistant supports a nationwide network of managers, employees, customers, and sub-contracted vendors through a variety of time-sensitive tasks to effectively liquidate federally seized assets for the U.S. government and ensure contract compliance. Must know, practice, and ensure that company policies and procedures and state or federal laws are followed. ESSENTIAL DUTIES & RESPONSIBILITIES: Auction posting: the auction assistant will manage incoming auction inventory; digitally prepare and assign assets to upcoming auctions; ensure all photos are edited and all information pertaining to the sale is obtained, complete, and accurate; upload inventory to the website/ online auction platform; and manage assets throughout the duration of the sale. All tasks performed electronically. Auction duration: Ensure customers and vendors receive prompt, efficient and courteous attention. Provide customer support and technical assistance to bidders. Prepare files and complete preliminary sale documents. Review auction listings for discrepancies or needed revisions. Prepare or assist with marketing material. Auction closeout: Email bid results and invoices, manage incoming payments, execute title work, submit and obtain electronic signatures, email inventory releases, mail out documents, generate and prepare closeout reporting, invoice and bill vendors, wire funds and submit proceeds checks. QUALITIES: Highly organized and extremely detail oriented with a strong sense of urgency. The ability to multi-task and thrive in a high volume, fast-paced environment. Takes direction with the ability to revise and adapt to changes in policy, procedure, and law. Enjoys working with the public and has excellent verbal and written communication skills. Strong typing and computer skills with experience using Microsoft Office, including Word, Excel and Outlook; Auction Flex software (preferred, but not required); TOPS software (preferred, but not required), photo editing software. Honest, dependable, and eager to learn. Bilingual is a plus.
Responsibilities
The Auction Assistant manages the entire lifecycle of auction inventory, from digital preparation, assignment, and uploading to the online platform, to ensuring all sale information is accurate and complete. This role also involves providing prompt customer and vendor support throughout the auction duration and handling all post-sale closing procedures.
