JOB DESCRIPTION: AUXILIARY PROGRAMS COORDINATOR

Reports To: Chief Executive Officer
Status: Full-Time, Non-Exempt
Takes Direction From: Executive Team, Strategic Leadership Team

JOB SUMMARY

The Auxiliary Programs Coordinator is responsible for the planning, coordination, and execution of all auxiliary programming at ASUA, including summer programs, weekend initiatives, and enrichment opportunities. This role supports both internal programming for ASUA students and external programming for community stakeholders. The Coordinator ensures that programs align with ASUA’s mission, maintain high-quality standards, and provide meaningful learning, social, and recreational experiences for participants. This position requires a proactive, detail-oriented, and collaborative approach, with the flexibility to work on-site across multiple locations and virtually as needed.

CERTIFICATIONS AND QUALIFICATIONS

  • Current (dated within a year) Act 34, 114, and 151 clearances
  • Bachelor’s degree in Education, Special Education, Recreation, Nonprofit Management, or a related field required; Master’s degree preferred.
  • Experience planning and leading educational, recreational, or enrichment programs, ideally for students with autism and related disabilities.
  • Strong organizational and project management skills with the ability to manage multiple programs simultaneously.
  • Demonstrated ability to collaborate with cross-functional teams and external partners.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, Google Workspace, and program management tools.
  • Flexibility to work non-traditional hours including evenings, weekends, and summers as required.

EQUIPMENT/MATERIAL HANDLED

The individual in this position shall be assigned a variety of resources and materials which are to be appropriately stored and accounted for. All media resources and borrowed material are to be judiciously used, and are to be maintained in a reasonably unsoiled and non- damaged fashion. Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.

Responsibilities

ESSENTIAL DUTIES

Program Development and Coordination

  • Design, plan, and implement all summer and weekend programming for ASUA students and community participants.
  • Develop enrichment opportunities (academic, social, recreational, and vocational) that align with ASUA’s mission and support the needs of students with autism and related disabilities.Collaborate with internal teams to ensure programming integrates academic, clinical, and behavioral supports.
  • Coordinate logistics including schedules, staffing, transportation, space use, and materials for all programs.
  • Create and maintain an annual auxiliary program calendar.

Stakeholder Engagement

  • Partner with community organizations, schools, and external stakeholders to expand programming opportunities.
  • Serve as the primary point of contact for families and participants regarding summer and weekend programs.
  • Market auxiliary programs to external audiences to increase visibility and participation.
  • Collect and respond to feedback from families, staff, and participants to continually improve program quality.

Operations and Administration

  • Oversee program budgets in collaboration with the Finance Team, ensuring cost-effective operations.
  • Manage program registration, enrollment, and communication with families.
  • Recruit, schedule, and supervise staff for auxiliary programming, ensuring adequate training and alignment with ASUA policies.
  • Ensure all programs comply with ASUA standards, PDE regulations, and safety requirements.
  • Track attendance, outcomes, and data to evaluate program effectiveness and support continuous improvement.
