DESCRIPTION:

About the role
This is a senior leadership role that provides strategic direction across all aspects of student administration and data, including admissions, student course and subject enrolment and resulting data, PRISMS management and all government data related interactions such as TCSI, DESE, QILT and DHA.
The role encompasses pro-active management and continuous enhancement of the ICMS student administration systems (particularly Oracle Peoplesoft Campus Solutions, Salesforce, Power BI) and student data, either as a primary responsibility or in collaboration with other stakeholders (e.g. with other internal departments and/or external consultants).
The role is responsible for delivering process improvement initiatives, ensures accurate student records data internal and external reporting and oversees major projects involving student systems and student records data. This role is the functional representative in the institution working groups for the establishment of new business processes that impact on systems that capture student information and data

Accountabilities

  • Management, business support, and continuous improvement of, business processes and information systems relating to student and course data.
  • Functional management and liaison with IT & Data Analytics Department on student management system updates; change management procedures; student administration system functionality; documenting systems issues and recommending modifications / enhancements; reporting systems issues and proposed systems enhancements to the IT team.
  • Oversight of major strategic systems related projects, such as student management system upgrades, within the organisation involving student systems and student data.
  • Responsible for efficiency of capture, and accuracy of student data through administrative processes (e.g. admissions, timetabling, course and subject enrolment/change of enrolment and teach out) while ensuring alignment with policies, procedures and regulatory requirements.
  • Ensure student and course data is managed in alignment with regulatory reporting requirements, through relevant systems and that it is maintained and improved through collaboration and good practice, in alignment with relevant policies and processes.
  • Protection of student and course records in the relevant systems.
  • To agree, and manage, the end of trimester academic resulting processes and timelines with the senior academic leaders, and to then deliver the Board of Examiners meeting on schedule. This role is the Chair of Board of Examiners.
  • Ensure departmental technical expertise on student systems, their use, integration and maintenance, is constantly developed to deliver consistently accurate data and avoids single-person dependencies for specific tasks.
  • Contribute to departmental data analytics expertise to provide a real-time self-serving reporting platform of registry related data for departmental and cross-departmental purposes.
  • Be responsible for a repository of process manuals and training materials to ensure consistency of operation.
  • Provide, general direction, troubleshooting, support and training to all staff within the relevant departments on student administration systems as appropriate.

TO APPLY, YOU SHOULD HAVE THE FOLLOWING SKILLS / EXPERIENCE:

  • Minimum undergraduate degree in Information Technology or related area
  • Evidenced experience in documenting and managing business processes and information systems
  • Experience in higher education sector administration and systems in a quality HE provider*
  • Knowledge of the Higher Education Standards Framework and its application from institutional policies and procedures to student administration processes*
  • Ability to communicate technical and specialist ideas knowledgeably and clearly with a range of audiences
  • Understanding of the student’s perspective and ability to apply that lens to all solutions implemented
  • Evidenced history of identifying and proactively solving service- related issues towards positive outcomes*
  • Evidenced experience in accurate TCSI reporting
  • Experience in Domestic and International admissions*
  • Candidates who are strongly aligned with these criteria, will be considered at Vice President level.

Also valued (not essential)

  • Experience with of Oracle Peoplesoft campus solutions
