Develop and empower all members of your team to include Administrators and support of Projects within division. To manage the Children and Families services administration team to include band 3 administrators. With reference to senior managers, facilitate the recruitment and selection processes for administrative staff in your team, and wider PA team. Set up systems to ensure all new staff receives as appropriate induction and this it is evaluated.
Support the recruitment process of new staff from advert through to interview, appointment and induction stages. Ensuring the appropriate documentations is completed for authorisation of vacancies (through TRAC). Utilise and maintain up to date internal electronic systems such as ESR for completion of forms and other databases liaising with HR, Payroll Office and financial systems support service. Manage and maintain records systems and spreadsheets for staff e.g.
sickness and absence, annual leave, Disclosure and Barring Service (DBS) checks, mandatory and all other training, under guidance of the performance officer. Implement regular supervision of staff including management of annual leave, sickness, study leave and timely attendance of mandatory training. Liaise with ESR regarding changes to staff details, new starters and leavers. Ensure supportive staff management arrangements are in place and carry out personal development reviews for direct reports.
Ensure all staff in your team have annual PDR’s resulting in specific objectives and effective personal development plans in line with the Knowledge and Skills Outline Framework. Ensure a system of one to one management is in place for members of the administration team. Responsible for leading in training and development of identified staff. Develop induction programmes tailored to individual learning needs meeting the competencies within the trust administrative framework and development model.
Develop a culture that ensures that the standards of improving working lives and investors in people are achieved and maintained for all staff and that staffs perception about their working lives are measured and improvements made. Promote staff working knowledge of customer service excellent standards and care quality commission standards and ensure these are embedded in every day practice. Support the office manager in management of their team of PAs in their absence. Identify and maintain learning and development needs of the administration team in relation to delivery of high quality cost effective services, continuous improvements and development.
Maintain record systems and databases for staff e.g. mandatory and all other training. Ensure administration staff have equal access to training and courses both mandatory and that have been individually identified as appropriate for their personal development. Ensure staff take annual leave regularly and flexibly as dictated by service demands in line with Trust Policies.
Implement team meetings and ensure lessons learned from incidents have changed practice. Follow through performance management policies and undertake investigations as delegated and within the sphere of the role. Develop a culture that ensure that the standards of Improving Working Lives and Investors in People are achieved and maintained for all staff and that staff’s perception about their working lives are measured and improvements made. Develop staff knowledge and skills to promote equality and diversity and address inequalities both in employment and service delivery.
Ensure specific equality objective are included in PDR’s. Act as a resource for the development of junior administrative staff with the division. Maintain staff personal files, developing local process and systems for this. Oversee project administration for assistant general manager
