SKILLS AND QUALIFICATIONS:

  • Experience developing and managing a high-performance team.

EDUCATION AND EXPERIENCE:

  • Bachelor-s degree preferred.
  • Degree in Accounting preferred.
  • At least 4-7 years of previous experience in Back Office Operations at a Financial Institution, Accounting, Accounts Payable, and/or HOA Management Company.

Responsibilities
  • Lead and develop a team to ensure client deliverables are completed in a timely and accurate manner.
  • Assign and oversee job duties and supervise the day-to-day responsibilities for the Banking Coordinators.
  • Oversee and ensure accurate processing of all items related to monthly ACH reserve contributions.
  • Assist with review and transmission of ACH transfers prepared by the Banking Coordinator.
  • Ensure appropriate quality control processes are in place.
  • Responsible for researching, managing and resolving inquiries related to account transactions.
  • Ensure adequate coverage for all treasury functions and assist as needed.
  • Serve as a liaison with banking partners, FirstService Financial investment manager, and internal clients.
  • Monitor and review investment recommendations processes are completed timely and accurately.
  • Review FFI investment recommendations received through Zendesk.
  • Generate and review accounts without excess FDIC insurance with balances over $250,000 quarterly and provide recommendations to the Regional Directors and/or Community Vice Presidents.
  • Review and complete Banking Support tickets received through the Manage Engine Service Desk.
  • Ensure the maintenance of authorized signers on bank signature cards and perform periodic signature card audits.
  • Responsible for overseeing and administering online banking services (ACH Positive Pay, Reverse Positive Pay, ACH - Wire Transfer services, Onsite-Electronic Deposits (OED), User Entitlements).
  • Ensure timely account setups for onboarding associations.
  • Ensure timely account closure for offboarding associations.
  • Administer the Purchase Cards (P-Card) Program with setup, maintenance, monthly reconciliation, fraud notifications, card orders.
  • Develop and/or maintain Standard Operating Procedures (SOPs).
  • Responsible for seamless implementation of banking-related initiatives.
  • Ensure CPA engagement letters are received for taxes and/or financial audit or review services.
  • Oversee the distributions of financial audits and reviews, tax returns - record keeping.
  • Ensure timely processing of tax returns, scheduled or extension payments are made and the distribution of tax returns or tax extensions to the Community Manager.
  • Ensure that all documents are properly tracked and distributed - archived appropriately.
  • Ensure that all bank statements are retrieved and saved for the purpose of the monthly production of financials.
  • In depth knowledge of accounting system (CAM Accounting), Connect and other proprietary tools.
  • Attend client facing meetings as necessary.
  • Resolve escalated issues from external or internal customers.
  • Collaborate with other accounting departments to provide appropriate support.
  • Maintain staffing coverage and related contingencies to ensure on-time delivery of services.
  • Review the Banking Coordinators- work production as appropriate.
  • Regular meetings with individual associates as well as team meetings to ensure progress towards goals and development.
  • Assist other management team members in the recruiting, hiring, managing and separation of personnel.
  • Model FirstService Residential’s leadership principles in every aspect of the job.
  • Promotes excellence in others by meeting company standards of quality.
  • Takes full responsibility for all aspects of FirstService Residential’s service.
  • Ensure associate work processes, roles/responsibilities, habits and payroll processes are executed according to FirstService Residential policies and applicable wage and hour laws; review and approve payroll with strict adherence to deadlines for area of responsibility.
