SUMMARY:

We are seeking a highly organized and detail-oriented Coordinator, Project Billing - BAS to join our Finance team in Vaughan. This role is crucial for managing the administrative and billing aspects of Building Automation System (BAS) projects. The ideal candidate will have a strong background in finance or project administration, exceptional communication skills, and the ability to thrive in a dynamic environment.

SKILLS EXPERIENCE & QUALIFICATIONS:

  • 1–3 years of experience in finance, administration, or project management.
  • Post-secondary education in a relevant field (technical diploma or degree preferred).
  • Proficiency in Microsoft Office Suite, including Excel (Pivot Tables), Word, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Training on AX or similar project management software is essential.
  • Ability to work effectively under pressure, troubleshoot challenges, and maintain professionalism.

Responsibilities:

  • Open and manage projects following company standards, ensuring accurate documentation and tracking.
  • Collaborate with project managers to capture and document accurate project details.
  • Generate invoices in accordance with the Schedule of Values (SOV) form and reconcile project-related financial data.
  • Create and manage purchase orders (POs) for materials and services, monitor dates, process vendor invoices, and liaise with Accounts Payable.
  • Maintain an organized inventory of parts and equipment in the warehouse, ensuring items are stored and tracked efficiently.
  • Review and resolve discrepancies in project budgets, billing, and customer accounts.
  • Provide exceptional support to internal and external stakeholders, including addressing inquiries from Accounts Receivable, Payable, and customers.
  • Facilitate effective communication between project, sales, and operations teams to ensure project alignment.
