Description POSITION OVERVIEW The BBIVAR Patient Services Representative is the first point of contact for patients and Voice Pathologists. This position will meet and greet patients, prepare daily charts, notify staff of patient’s arrival, collect co-pays and schedule appointments and/or procedures. Position will be working in two locations Dayton and Centerville 50/50. ESSENTIAL DUTIES AND RESPONSIBILITIES Open the office and start up equipment/technology appropriately to prepare for first patients. Answer incoming phone calls, to include but not limited to, routing calls appropriately, scheduling appointments and procedures, processing cancellations according to practice procedures and guidelines and sending appropriate registration and consent paperwork as needed. Greets patients and notifies staff of their arrival for appointments and procedures. Complete check out process as patients leave. Make follow up appointments and schedule testing and procedures as needed. Enter and verify patient information, copy insurance cards, and ensure all necessary paperwork is completed. Obtain pre-certifications as needed and enter information into the practice management system. Coordinate information and paperwork with billing office to ensure accurate and timely billing. Work with SOENTS schedulers as needed for patient appointments and procedures. Coordinate schedules for voice pathologists. File dictation in the Electronic Medical Record. Run reports from information systems and share statistics appropriately. Track inventory and order clinical, therapeutic and office supplies, including informational and marketing supplies. Timely and appropriately respond to e-mails and phone messages. Provide patient appointment reminders per office guidelines. Clean and prepare rooms, instruments and equipment per office guidelines. Other duties as assigned. Requirements EDUCATION, EXPERIENCE & KNOWLEDGE REQUIREMENTS Education High School Diploma or equivalent Experience Minimum 1-year experience in healthcare, medical office or hospital setting (preferred) Knowledge & Skills Intermediate-Advance level ability in the Microsoft Office Suite: Word, Excel, PowerPoint Ability to communicate and articulate complex information simply Self-motivated, enthusiastic, and a positive attitude Ability to handle a multitude of different situations; sometimes simultaneously Must possess strong organizational skills. Has a willingness to be challenged and to gain mastery in new areas Strong attention to detail Ability to operate effectively in a fast-paced environment that requires multi-tasking
