POSITION SUMMARY

Reporting to the Community Lands Committee (CLC), the Beach Club Coordinator plays a pivotal role in managing the operations of the Beach Club facility, leading its administrative functions, and coordinating communications across the Craig Bay community. This is a hands-on position that supports both day-to-day operations and long-term calendar planning, ensuring a positive experience for residents, committees and visitors.

QUALIFICATIONS & EXPERIENCE

  • 3+ years of administrative, communications, or community coordination experience.
  • Proficiency in Microsoft 365 (Word, Excel, Publisher) and cloud-based collaboration tools.
  • Experience with WordPress and email-newsletter platforms (e.g. Mailchimp, Constant Contact).
  • Strong written and verbal communication skills with demonstrated attention to detail.
  • Ability to manage multiple tasks independently in a community-focused environment.
  • Graphic design, content creation, and social media or marketing experience considered an asset.

Responsibilities

KEY RESPONSIBILITIES

  • Oversee day-to-day operations of the Beach Club office and serve as liaison to the Craig Bay community.
  • Coordinate internal and external communications via email platforms, newsletters, website content, signage, and community campaigns.
  • Manage the guest cottage reservation system for four cottages, including scheduling, payment processing, policy enforcement, and check-in procedures.
  • Develop, design, and maintain website content using WordPress to ensure information is accurate, user-friendly, and up to date.
  • Create and distribute professional-quality communications (newsletters, notices, bulletins) using email and print formats.
  • Maintain a range of digital and print documents such as registration forms, directories, facility rental agreements, and maintenance forms.
  • Maintain data bases for resident, committee and council contacts and ensure information accuracy.
  • Participate in Human Resources Advisory and Beach Club Subcommittee meetings, providing insights and updates as required.
  • Coordination facility bookings and assist in publicizing Craig Bay community events.
