What You’ll Do Greet all visitors warmly and professionally, providing information or assistance in both English and Spanish. Answer and direct incoming calls with courtesy and accuracy, ensuring messages reach the right person quickly. Maintain a positive and professional front desk area that reflects the values of our organization. Ensure continuous front desk coverage, coordinating with management for breaks, coverage, and time off. Provide administrative support for major events (such as the Wellness Conference or Annual Breakfast) by preparing materials, assisting with registration, and helping with logistics. Take minutes for monthly Board meetings. Assist with communications and development tasks, including updating databases, processing donations, and making follow-up calls to vendors. Support the Assistant to the CEO and other team members with document preparation, proofreading, and project coordination. Maintain an inventory of office and computer supplies, placing orders and tracking deliveries as needed. Coordinate with maintenance staff and service vendors (e.g., HVAC, electricians, pest control) to ensure a safe and functional workspace. Manage mail and shipping duties, including sorting, postage, and FedEx pickups. Schedule conference rooms, maintain shared calendars, and update directories and staff contact lists. Monitor and maintain office equipment, coordinating repairs and ordering toner or supplies as needed. Keep the Front Desk Manual current with clear instructions and department updates. Provide administrative assistance to managers and directors, as approved by your supervisor. Participate in staff meetings, training sessions, and organizational events. Uphold confidentiality, professionalism, and the principles of Independent Living in all interactions. Requirements This Role Could Be a Great Fit If You Have High school diploma or equivalent required. Minimum of two years in an administrative or front office role. Fluency in Spanish and English (spoken and written) required. Strong customer service and interpersonal skills, with the ability to create a welcoming environment for all. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). Excellent written and verbal communication skills. Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced setting. A positive, team-oriented attitude and willingness to learn.
