Bid Board Coordinator / Sales Support (Winnipeg) Seeking a Bid Board Coordinator / Sales Support to help support our sales & estimating team in our Winnipeg office. The selected individual needs to have a keen eye for detail, as they will be required to ensure that bids are accurate, complete, and consistent. They will review all bid documentation, check for omissions, inconsistencies, or addendums, and ensure that the bid follows the client's specifications and guidelines. The bid Board Coordinator is the first point of contact for many of our customers and must ensure their requests are entered in an accurate and timely manner. The successful candidate's responsibilities will include: Intakes all RFQs (request for quote) from the estimating inbox or requests received through the sales team in a timely and efficient matter to ensure customer deadlines are met. Prepare and enter new bids into project management software. Accepts and updates all addendums and changes in scope from our client, and is proficient in the systems these are sent through (One Drive, Dropbox, Procore, etc.). Collects and digitally files all documents and communication in order for sales to quote customers accurately and efficiently. Communicates (written and oral) with all levels of management, sales, and customers. Redirect requests unrelated to tenders/bids/RFQs. Occasionally print and distribute mechanical drawings. Prepare submittal packages consisting of shop drawings, installation and maintenance manuals and confirmation lists after receipt of purchase orders. Create and set up project files in our project management software. Other duties as assigned by management. The ideal candidate for this position will have: Note: this is not a work from home or remote position. Preferred High School diploma and 1+ years of experience in an administrative support role. Strong written and verbal communication skills. Strong computer background including experience with Word, Excel, Outlook and PDF readers. Independent, self-motivated, able to take the initiative to improve the role and related processes. Demonstrated reliability, professionalism, ability to work with minimal supervision. Excellent organizational skills and the ability to juggle multiple priorities and interruptions while meeting deadlines in a fast-paced environment.
