JOB DESCRIPTION

We have an exciting opportunity for a Bid Coordinator to be a key member of our growing UK Business Development team. Candidates must be confident communicators verbal and written, skilled and experienced at developing relationships, and able to coordinate people efficiently.
As Bid Coordinator, you’ll support the end-to-end bid process and bid team, working closely with internal stakeholders and subject matter experts to help develop high-quality submissions for tenders, proposals, and frameworks. This is a key role in helping us secure new business and retain existing contracts.
You’ll also play a part in managing framework submissions and call-offs, ensuring compliance with client requirements and internal governance processes.

QUALIFICATIONS

Essential:

  • Experience within a bid function ideally as an administrator / coordinator or comparable
  • Exceptional organisational skills, with an ability to manage a diverse range of tasks, involving different people and different activities to tight deadlines
  • Excellent literacy skills and attention to detail.
  • Confident communicator both verbally and written
  • Able to identify the client’s key requirements.
  • Offer ideas and suggestions to enhance the bid processes and win rates.
  • Ability to lead development of graphics that support win themes, solution, and key messaging
  • Ability to work within a team effectively and deliver tight deadlines on time.
  • Ability to cope with change e.g., to brief, programme or role.
  • Excellent analytical skills
  • Excellent organisational and time management abilities.
  • Confident using Microsoft Office (especially Word, Excel, Teams and PowerPoint).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proactive self-starter.

Responsibilities
  • Day to day management and communication of central mailbox and bid portals
  • Respond to all request for information pertaining to the company
  • Responsible for market research in support of opportunities
  • Maintenance of bid tracking and reports

Manage early stage bid such as soft market quesitonnaires, RFI’ etc document preparation including:

  • Developing proposal schedule (as needed) and tracking compliance with those baselines.
  • Support assembling and supervising resources needed to respond to request for qualifications.
  • Managing preparation of response on regular basis including guiding and reviewing the work of other authors, writing material and making decisions affecting document’s overall format and content.
  • Obtaining management reviews of draft including soliciting input from Contracts and Legal.
  • Finalising documents by incorporating comments and overseeing production cycle.

Supporting the Bid Managers with formatting of bid submissions and presentations

  • Support and facilitate close down activities
  • Proof reading of bid documents
  • Support with the coordination of framework management activities.
  • Monitor and track alerts to ensure they are provided to the correct individuals.
  • Managing the administration needs of the bid team
