Description W.S. Darley & Co. is seeking a Bid Coordinator to join our Team! The Bid Coordinator supports the bid submission process, primarily for contracts under the Department of Defense (DoD). The role serves as the central point of contact for bid-related activities to maximize the chances of winning new business and growing the Division’s revenue. The Bid Coordinator ensures that proposals are prepared accurately and that client requirements are reviewed. Collaborating with internal teams to gather necessary information, compiling documents, and maintaining consistent branding throughout the process is essential to success, especially during surge months when a high volume of throughput is expected. Darley Defense specializes in special operational equipment and fire and emergency services. Requirements RESPONSIBILITIES AND DUTIES Receive and analyze Requests for Quotes (RFQ) to identify key requirements and develop a comprehensive bid strategy. Be completely knowledgeable and able to execute on the following contracts and tasks: Tailored Logistics Support (TLS) Special Operation Equipment (SOE), TLS Fire and Emergency Services (FESE)and Equipment and Federal/Government agency Requests for Quotes (RFQ). Collaborate with the Sales Team, Supply Partner Team, Marketing Team and Finance Dept to gather necessary information for the submission of Requests for Quotes (RFQ). Read and extract data from manufacturer quotes for bid submission. Submit bids for SOE/FESE utilizing Salesforce. Track progress against bid timelines, identify potential issues, and escalate concerns to relevant stakeholders to meet submission deadlines Communicate with Contracting Officials at the Defense Logistics Agency (DLA) on the status of RFQ's and pricing information requests. Monitor the status of submitted bids, analyze win/loss data, and provide feedback to improve future proposals. Maintain and track 855 submission forms and 824 award tracking forms. Occasionally, conduct market research or Supplier out-reach projects to collect information for contract submissions or other business initiatives. (ie: conduct best price surveys for Pricing Lists) POSITION TYPE / EXPECTED HOURS OF WORK This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m. or as otherwise required. TRAVEL This position requires no travel. Attendance for Government Fiscal EOY End of Year is required from August 15-September 30.
