Responsibilities

WHAT WILL YOU DO?

We are seeking a highly proactive and precision-driven Bilingual Executive Assistant to spearhead the administrative responsibilities for our Chief Executive Officer. This individual will serve as a trusted representative of the Office of our CEO, demonstrating professionalism, agility in navigating change, and unwavering composure under pressure.
Success in this role demands strong ownership and organizational mastery, along with the ability to strategically manage competing priorities, seamlessly coordinate multiple tasks and projects, and synthesize information to craft informed recommendations and decisions.

RESPONSIBILITIES

  • Oversee daily operations in collaboration with senior managers and department leaders, and perform administrative tasks such as managing calendars, generating correspondence, expense reports, preparing, and/or modifying correspondence, materials and agendas, and various projects/assignments as required.
  • Manage and maintain executive schedules, planning and coordinating annual business meetings, and scheduling facilities. Including arranging appointments, travel, and accommodation through Concur. (local, national and international).
  • Collaborate with support teams to ensure key information related to operational activities is readily available and efficiently communicated across the organization.
  • Apply sound professional judgment to assess, prioritize, and determine appropriate actions for incoming inquiries.
  • Operate with autonomy, exercising discretion and strategic decision-making while independently managing diverse assignments and high-level projects.
  • Manage highly sensitive and confidential matters with the utmost integrity as part of core administrative responsibilities.
  • Conduct preliminary reviews of various reports to verify accuracy and completeness before presenting them for executive review.
  • Draft, refine, and format key documents, including internal and external presentations, correspondence, reports, memos, and emails.
