Description:
POSITION OVERVIEW
We are hiring a Bilingual Legal Intake Specialist to join our client’s legal team. In this critical position, you will conduct client intake interviews with potential new clients while also managing and maintaining the firm’s electronic filing system. Your ability to organize, communicate effectively, and handle sensitive information with confidentiality and professionalism will make you an integral part of the firm’s success.
QUALIFICATIONS:
- 2+ years of experience in client intake in the legal field, administrative support, or filemanagement.
- Strong interpersonal and communication skills with the ability to handle sensitive clientmatters with professionalism and confidentiality.
- Proficiency with electronic filing systems and case management software.
- Excellent organizational skills, attention to detail, and the ability to manage multipletasks simultaneously.
- Ability to work independently and collaboratively in a team environment

Responsibilities:
INTAKE RESPONSIBILITIES:
- Conduct intake interviews with potential clients, collecting case details and necessary documentation.
- Serve as the first point of contact for potential clients, providing a welcoming and professional introduction to the firm.
- Assess the viability of new client inquiries to determine alignment with the firm’s expertise.
- Accurately input client data, case notes, and documentation into the firm’s case management system.
- Schedule consultations and follow up on client inquiries to ensure efficient communication.
- Educate potential clients about the firm’s services, ensuring they feel supported and valued.
- File Management Responsibilities:
- Maintain, organize, and manage all electronic client files, ensuring data is current, accurate, and properly stored.
- Implement and adhere to file retention policies, archiving and retrieving records as necessary.
- Ensure all documents are correctly uploaded, labeled, and accessible for team members.
- Work with other team members to ensure all client documentation is correctly filedand easily retrievable.
- Conduct regular audits of the electronic filing system to maintain consistency anddata integrity.Support staff in accessing and using the electronic filing system as needed.
