POSITION OVERVIEW

We’re seeking an organized, proactive Bilingual Outsource Admin & Talent Specialist to support our team with client communications, recruitment, and administrative tasks. You’ll manage candidate interviews, scheduling, and coordination with U.S.-based clients to maintain smooth operations.

QUALIFICATIONS

  • Prior experience in administration, recruitment, or HR coordination preferred.
  • Excellent written and verbal English communication skills.
  • Strong organizational abilities and high attention to detail.
  • Tech-savvy and proficient with email, spreadsheets, and common office software.
  • Familiarity with U.S.-based small businesses is a strong advantage.
  • Proactive, self-motivated attitude capable of handling tasks simultaneously.
Responsibilities
  • Talent Acquisition
  • Conduct initial screenings and interviews of prospective candidates.
  • Prepare candidates for client interviews and collect post-interview feedback.
  • Maintain accurate records and progress reports within our hiring pipeline.
  • Outsourcing Team Coordination
  • Track project progress and address operational requirements of outsourced teams.
  • Manage scheduling, including processing leave requests and updating clients on coverage.
  • Monitor staff performance, attendance, and escalate issues as needed.
  • Maintain comprehensive records on schedules, time-off, and project assignments.
  • Client Communications
  • Collaborate closely with U.S.-based small business clients to clarify job requirements.
  • Provide regular updates on candidates, hiring recommendations, and receive client feedback.
  • Ensure seamless communication to maintain client satisfaction.
  • Administrative Duties
  • Generate reports, perform data entry, and organize documents effectively.
  • Manage calendars, schedule meetings, and draft routine correspondence.
  • Collaborate with team leads to optimize administrative processes and workflows.
  • Continuous Improvement
  • Proactively identify workflow gaps in recruitment, onboarding, and scheduling processes.
  • Suggest and implement process improvements to enhance efficiency.
  • Stay informed on best practices within HR and outsourcing domains.
