Our office receptionist is responsible for creating a welcoming, professional first impression for all clients, caregivers, and visitors to the agency. This role serves as the first point of contact for incoming calls, visitors, and general inquiries while providing essential administrative and clerical support to ensure the smooth day-to-day operation of the office. Reporting directly to the Director of Human Resources, the receptionist works closely with all departments—Care Coordination, Scheduling, Human Resources, and Marketing/Sales—to support efficient communication, accurate documentation, and exceptional service that reflects the agency’s mission and values. The receptionist must be personable, organized, and detail-oriented, with a genuine commitment to serving others in a compassionate, faith-centered, and client-focused environment. Responsibilities include: Front Desk and Administrative Support Greet visitors, caregivers, and clients in a professional, friendly, and welcoming manner. Answer and direct phone calls promptly and courteously, ensuring messages are relayed accurately and efficiently. Maintain a clean and organized reception area that reflects the agency’s professionalism and care standards. Manage incoming and outgoing mail, packages, and deliveries. Provide clerical support including data entry, filing, scanning, copying, and document preparation as requested. Assist with maintaining office supply inventory and coordinate reorders with the Office Coordinator. Communication and Client Support Serve as the initial point of contact for client inquiries, directing them to the appropriate department or staff member. Support the Scheduling and Care Coordination teams by relaying time-sensitive information promptly and accurately. Ensure all communication—verbal and written—reflects the agency’s commitment to compassion, dignity, and respect. Operational Support Monitor and report maintenance or facility needs to the Director of Human Resources. Assist in organizing staff meetings and training events, including scheduling and materials preparation. Support compliance and recordkeeping processes by ensuring paperwork is complete, accurate, and properly filed. Professional Conduct and Company Standards Report to work on time and as scheduled; complete work within designated timelines. Maintain a neat, clean, and professional appearance; adhere to dress code and wear name identification when representing the agency. Attend staff meetings and required training sessions; participate in ongoing professional development. Represent the agency positively and uphold its mission, ethics, and goals in all interactions. Comply with all agency policies, procedures, and state regulations. Protect client confidentiality and comply with all HIPAA requirements. About us: Why AmanaCare?
