This role is heavily focused on exceptional customer service, relationship-building, sales follow-ups, and CRM management rather than clinical support. The ideal candidate is warm, confident, energetic, and highly personable — someone who can easily connect with high-end clients and make them feel valued and understood. This role requires independence, initiative, and strong communication skills. Personality and client-facing confidence are top priorities. Client Engagement & Sales Support Answer inbound calls with a professional and warm tone Follow up with potential clients who did not book appointments Re-engage inactive or past clients Provide information about services and guide potential clients through next steps Support light partnership prospecting Build and maintain strong client relationships Note: This is not a heavy sales role. The focus is on nurturing relationships, engaging leads, and building trust rather than aggressive selling. CRM & Lead Management Manage and update CRM (IntakeQ) Track leads and ensure timely follow-ups Maintain accurate and organized client records Support basic sales pipeline organization Scheduling & Administrative Support Schedule and coordinate appointments Manage calendar and day-to-day scheduling needs Handle backend administrative tasks Support general operations Provide additional executive assistant-style support as trust builds Non-Negotiable Requirements Fluent in BOTH Spanish and English (spoken and written) Majority of clients are Spanish-speaking Must be able to work full-time EST hours consistently Strong phone presence and professional communication skills Full-time availability only (no part-time applicants) Experience Requirements Medical education/degree: Not required Previous experience working as a Virtual Assistant: Preferred Medical license (doctor, nurse, PT, etc.): Not required Strongly Preferred Healthcare or medical office experience Experience in a concierge or premium service environment HIPAA trained or willing to learn Sales support experience (client follow-ups and lead nurturing) Tools CRM: IntakeQ Phone System: RingRx VoIP This role is ideal for someone who loves talking to people, feels confident on the phone, understands client psychology, and thrives in a premium, client-focused environment while supporting a growing practice.
